POSITION SUMMARY
The Registration Specialist is responsible for assisting with course scheduling, student registration, and academic records in alignment with institutional policies and accreditation standards. This role contributes to the preparation of master schedules, and collaborates with the Associate Registrar to resolve scheduling and registration issues. The Specialist processes student records, withdrawals, leaves of absence, and grade changes in Ellucian Colleague, while also maintaining classroom assignments in 25Live and supporting commencement activities. Additional responsibilities include preparing enrollment reports and coordinating with various departments to ensure accuracy, efficiency, and compliance across all registration functions.
ESSENTIAL RESPONSIBILITIES
- Inputs course information into the Ellucian Colleague system to ensure the timely preparation of the master schedules.
- Assists with registration of incoming students ensuring that quality standards are met, and that all scheduling meets academic policy requirements.
- Determines if any scheduling issues exist which are not in full compliance with academic policies. Makes recommendations on how to resolve issues in the most efficient and expedient manner.
- Reviews all scheduling practices and procedures. Conducts independent analysis to make recommendations regarding improvements and efficiencies within the scheduling framework.
- Confers with Associate Registrar regarding adding or canceling course sections based on enrollment fluctuations.
- Maintains understanding of all degree program requirements.
- Communicates with students and faculty with regards to all scheduling changes. Explains complex scheduling issues in a simplified manner.
- Collaborates with Student Financial and Registration Services staff regarding student financial ramifications of scheduling adjustments.
- Provides continually updated student enrollment numbers
- Inputs and maintains all meeting and classroom location information/reservations in Colleague and 25Live. Prioritizes reservation requests competing for the same classroom facilities. Interacts with various departments regarding facility needs for academic programming that occurs outside regularly scheduled classes. Approves or denies requests for use of academic spaces.
- Maintains an accurate record of classroom capacities, classroom locations, and classroom characteristics; and makes updates as needed.
- Communicates all classroom changes with students and faculty.
- Reviews department email box daily and provide phone coverage when necessary.
- Follows policies established by the college and external agencies to ensure compliance with state, federal and national accreditation standards, including FERPA.
- Processes withdrawals and leaves-of-absence using Ellucian Colleague.
- Assists the Associate Registrar with course audits. Identifies any issues out of policy and makes recommendations for resolution.
- Coordinates with Assistant Registrar regarding commencement ceremony logistics, assists at ceremonies, prepares student records for conferral.
- Enters grade changes into student information system (Ellucian Colleague).
- Assists with data cleanup projects.
- Any and all other duties as assigned.
REQUIRED QUALIFICATIONS
Education:
- Associates degree in a relevant field or an equivalent combination of education and experience.
Experience:
- One (1) to two (2) years of progressively responsible experience in academic administration or a related field.
PREFERRED QUALIFICATIONS
- Experience working in a Registrar’s office.
- Working knowledge of Ellucian Colleague or a similar student registration system.

- Strong teamwork and interpersonal skills; ability to be adaptable, dependable and handle multiple priorities simultaneously.
- Demonstrated ability to show a high level of service responsiveness to customers.
- Strong computer experience, which must include abilities to work effectively with MS Office suite products, i.e. Word, Excel, PowerPoint.
- Ability to handle confidential issues with a high level of discretion.

WORKING CONDITIONS
- Able to work flexible hours on occasion, including nights and weekends, as required by business needs.
