POSITION DESCRIPTION

Title:                            Federal Programs Assistant

Reports to:                   Coordinator of Grants

FLSA Status:                Nonexempt (Classified position -12 months-full-time)

Summary:                    The Federal Programs Assistant supports the management and implementation of federal grants by performing a variety of general office, financial and clerical duties as assigned by the Coordinator of Federal Programs. This position ensures compliance with federal requirements and supports the day-to-day operations of the Federal Programs Department.

ESSENTIAL DUTIES AND RESPONSIBILITIES The following duties are representative of the role but are not exhaustive. Additional responsibilities may be assigned as needed:

Effectively monitor and maintain grant funds through an internal spreadsheet and state money management system (OMEGA), ensuring all expenditures are properly documented, reconciled, and updated in reimbursement logs.

Maintains accurate records of purchase orders faxed or emailed received and paid

Processes reimbursements and budget transfer requests through OMEGA

Updates and maintains user permissions in OMEGA

Provides assistance to auditors as required

Assists in yearly closing and monthly balance of grant accounts

Maintains time and effort records of grant funded positions

Facilitates delivery and inventory of materials and supplies purchased with federal funds

Organize and maintain documentation for grant-related activities, including Title I Parent Compacts, purchase orders, and reimbursement forms

Assists with scheduling and maintain records of Parent and Family Engagement events

Attends and compiles minutes from Title I Parent Advisory Council meetings

Collects and copies timesheets for After-school and Summer School Programs

13. Orders materials and supplies for Professional Development events, office, and private school

14.  Assists with planning, organization, and facilitation of Pre-K registration

15. Respond to inquiries from internal and external stakeholders, demonstrating excellent customer service

QUALIFICATIONS: To perform this job successfully, an individual must be able to perform each of the following requirements:

EDUCATION and/or EXPERIENCE (Preferred)
Holds an Associate Degree or higher preferred, with three years of financial management experience.

KNOWLEDGE, SKILLS AND ABILITIES

Proficient in Microsoft Suite and Google Suite
Strong organizational and time-management skills, with the ability to meet deadlines in a fast-paced environment
Works well independently and collaboratively with diverse teams
Effective oral, and written communication skills
Excellent customer service skills, with the ability to respond to inquiries and provide support to diverse stakeholders in a professional and courteous manner

TERMS OF EMPLOYMENT
Grant Funded. Twelve-month employment. Salary to be determined by the School Board.

Performance of the position will be evaluated annually in accordance with the provisions of the Prince Edward County School Board’s policy on evaluation of classified personnel.
