A Brief Overview
Wood-Mizer is looking for a dynamic Executive Assistant to partner directly with our CEO and executive leadership team. In this highly visible role, you’ll do more than manage calendars, travel, and correspondence—you’ll play a key part in keeping priorities on track, preparing impactful presentations and reports, and helping drive accountability at the highest level of the organization. Work Location: Wood-Mizer, 8180 W. 10th Street, Indianapolis, IN 46214
What you will do
- Provide direct support to the CEO by managing correspondence, drafting communications, preparing documents, and handling information with accuracy and discretion.
- Coordinate and maintain the CEO’s schedule, including meetings, major events, and travel arrangements.
- Serve as the first point of contact for guests and customers, representing the CEO and company with professionalism and warmth.
- Prepare and analyze reports, presentations, and meeting materials to support executive decision-making.
- Represent the CEO in meetings as needed, ensuring priorities and follow-ups are clearly communicated.
- Protect sensitive information and maintain confidentiality at all times.
- Lead and track projects by delegating tasks and following up to ensure successful completion.
- Maintain organized records and filing systems, including accurate documentation of meeting discussions.
- Provide corporate support such as database maintenance, notary services, and administrative reporting.
- Collaborate with the broader team and contribute to company success by taking on additional responsibilities as needed.
Educational Qualifications
- An associate's degree is required
Experience Qualifications
- Five to ten years of administrative experience
- Five to ten years of executive assistant experience
- Experience managing multiple calendars
- Experience booking travel, with Concur experience preferred
- Experience managing team events preferred
