PRINCIPAL OBJECTIVES OF THE POSITION
As the Office Coordinator, you'll be the first point-of-contact for our visitors, employees and clients. You'll work as an ambassador for the Scott Insurance brand and handle a variety of essential responsibilities to help the office run smoothly.
POSITION QUALIFICATIONS AND REQUIREMENTS
- Exceptional customer service/communication skills.
- Proficiency with Microsoft Office suite.
- Strong attention to detail and the ability to handle multiple tasks simultaneously.
- High school diploma required.
- Ability to obtain state issued Notary certificate.
PRINCIPAL DUTIES AND RESPONSIBILITIES
- Manage the day-to-day functions of the office including welcoming and directing visitors, purchasing supplies, overseeing the conference room equipment/schedule, and arranging office equipment repairs.
- Monitor security system (RING) to identify visitors before entry.
- Coordinate with HR, IT and management teams to assist with new hire onboarding (computer/phone configurations, supplies and office introductions).
- Perform general administrative duties including filing/scanning, answering phones, preparing reports/spreadsheets, processing expense reports and bookkeeping.
- Prepare incoming mail for scanning/routing to appropriate parties and prepare outgoing mail for postal/vendor pickup.
- Serve as a liaison with building management to notify employees of important information regarding the office building.
- Notify employees of delays/closings via Agility Alert system.
- Act as the office ambassador and assist in the coordination of office-wide events/projects.
- Perform other duties as assigned.
