In this role you will handle a mix of administrative and shop support tasks, making sure everything runs like clockwork. Requirements
Administrative Support
- Greet customers and direct them to the appropriate staff or service advisor.
- Answer phones, take messages, and provide updates on service progress.
- Assist with scheduling appointments, work orders, and technician assignments.
- Maintain service records, logs, and reports to ensure accuracy and compliance.
- Process invoices, purchase orders, and vendor documentation.
- Manage and inventory warranty parts.
- Support service management with clerical tasks, data entry, and filing.
Facility Responsibilities
- Monitor cleanliness and organization of the service shop, office areas, and customer waiting area.
- Assist in coordinating facility maintenance (repairs, HVAC, lighting, etc.) with vendors.
- Perform routine walkthroughs to ensure safety and compliance with company standards.
- Support shop staff with light labor tasks, such as moving equipment, disposing of waste, and ensuring work areas are hazard-free.
Qualifications
- High school diploma or equivalent (associate’s degree a plus).
- Previous administrative or clerical experience preferred.
- Familiarity with service or automotive shop environments is an advantage.
- Strong organizational and multitasking abilities.
- Proficiency in Microsoft Office or equivalent software.
- Excellent communication and customer service skills.
- Ability to work independently and as part of a team.
Physical Requirements
- Ability to stand, walk, bend, and lift up to 30 lbs. as needed.
- Comfortable working in both office and shop floor environments.
Work Environment
This role requires balancing front-office duties with hands-on support in the shop. The Service Shop Assistant plays a key role in ensuring efficient operations, customer satisfaction, and a safe facility for both staff and visitors.
