Job Description:

Primary Function of Position: 

Intuitive’s Digital organization aims to improve patient care and empower care teams with unique data and insights from our integrated digital ecosystem.  

We are seeking a Project Coordinator to support the Digital Program Management Office team focused on new and sustaining product development projects. 

 

The Project Coordinator will help execute product development and process- specified activities to ensure compliance with established Design Control and Project Management processes, with a strong focus on collaboration with cross-functional groups. 

Need to be a strong communicator, solid relationship builder, detail-oriented, and have investigative skills. 

Essential Job Duties 

  • Work with Project Managers defining and tracking Project Plans, work breakdown structure, project budget, and task definitions 
  • Maintain active Risk Register; add/remove risks based on meeting notes and reviews with program manager  
  • Ensure timely, qualitative follow-ups of actions from owners, and report on issues and blockers, as well as completion metrics to Program Managers  
  • Generate metrics (defined by PgM) to support Project and Program escalations (e.g., #open vs closed tickets, #stale requirements, etc.)   
  • Monitor and report project status for project milestones, documentation, and deliverable 
  • Review projects for possible interference/variances to schedule and/or specifications: proactively organize efforts to alleviate bottlenecks and speed execution with Project managers 
  • Release Coordination support – Track cross-release dependencies and escalate risks/issues to the PgM or PMO leads. 
  • Governance Framework – Ensure all projects follow standards, templates, and reporting formats. 
  • Consolidated Tracking – Gather progress data from project managers and maintain a portfolio/program dashboard (covering requirements grooming through V&V), highlighting blockers and owners. 
  • Support PgM in Status Reporting – Provide summarized updates (status, risks, key changes) during program syncs. 
  • Execute on communication plans determined by program manager (e.g., distribution lists, weekly updates, etc.)  
  • Collate and visualize in a standardized manner various project schedules into program schedule(s) using any project planning software ( 
  • Design Review Coordination with PgM as owner– Facilitate and track program-level design reviews. Liaison with Document Control and follow-up with approvers of change orders to ensure timely review and approval 
  • Release Deliverables Readiness – Run readiness forums to ensure deliverables are on track including deployment planning, Testing readiness 
  • Facilitate design handoffs between teams during different lifecycle phases (e.g., QA demo before V&V, mfg. review before design transfer, service & commercial training demos before launch)
Qualifications:

Skills, Experience, Education, & Training: 

  • Bachelor’s Degree required.  Masters degree preferred. 
  • 5+ years of directly related experience desired, medical devices experience strongly preferred 
  • Additional specialized training in a discipline such as computers and/or planning and scheduling 
  • Good organizational and investigative skills 
  • Proactive problem solver 
  • Excellent verbal and written communication skills 
  • Ability to switch between many different projects quickly 
  • Passion for rapidly executing projects creating robust and reliable products 
  • Familiar with waterfall, SCRUM, and hybrid project management techniques 
  • Should be highly proficient in Word, Excel, and PowerPoint 
  • Active user of Microsoft Project or other project planning and tracking tools 
  • Proficiency in Oracle/Agile and SAP a plus 

Preferred Skills and Experience 

  • Active user of Microsoft Project or other project planning and tracking tools 
  • Additional specialized training in a discipline such as computers and/or planning and scheduling. 
  • Familiar with waterfall, SCRUM, and hybrid project management techniques

It would not be typical for someone to be hired at the top end of range for the role, as actual pay will be determined based on several factors, including experience, skills, and qualifications.
