Junior Event Manager

The Junior Event Manager is responsible for the planning, coordination, and execution of group meetings, retreats, private programs, and special events booked through the Sales Department. This role works closely with clients and internal teams to ensure all aspects of each event�from accommodations to catering�are handled with precision and hospitality. While Southall hosts a variety of experiences, this role primarily supports small group programs with up to 20 guests, offering the opportunity to focus on intimate, high-touch events that reflect Southall�s personalized service and attention to detail.
Key Responsibilities:

Maintain full familiarity with assigned group files, agendas, billing details, and event logistics.

Serve as the primary contact for clients/event planners through meetings, calls, and ongoing communication.

Collaborate with the Reservations team to manage room blocks, rooming lists, and special amenity requests.

Coordinate all food & beverage arrangements per contract; upsell additional offerings to maximize guest satisfaction and revenue.

Anticipate client and guest needs, delivering solutions with a proactive, service-minded approach.

Prepare and distribute Group Resumes and detailed Banquet Event Orders (BEOs) for each event.

Oversee event spaces and room block inventory for assigned groups.

Arrange and manage event-related vendors (e.g., A/V, floral, entertainment, resort activities, and off-site excursions).

Ensure timely communication with all departments by distributing up-to-date BEOs, floor plans, and resumes.

Attend weekly BEO meetings to review upcoming events and operational readiness.

Promptly address all changes, additions, and special requests, ensuring accurate communication to operations teams.

Manage all pre- and post-event responsibilities, including on-site support, billing review, and guest feedback collection.

Respond to catering inquiries and assist with event sales as business needs dictate.

Support departmental financial goals by maximizing upsell opportunities and maintaining budget awareness.

Assist the Director of Events with forecasting, budgeting, and special projects as assigned.
Requirements & Qualifications:

Minimum of 3 years in Sales, Catering, or Event Management�preferably within the luxury hotel or resort industry.

Proven ability to plan and execute small group events (20 guests or fewer) with exceptional attention to detail.

Strong knowledge and interest in food, beverage, and event service.

Excellent communication and interpersonal skills.

Highly organized with strong problem-solving abilities.

Adaptability to changing priorities and guest needs.

Proficiency with Microsoft Office and event planning software preferred.

Must be available to work flexible schedules, including evenings, weekends, and holidays.

Must be able to stand and walk for extended periods and lift up to 25 lbs as needed.
Education:

High School Diploma or equivalent required

Bachelor�s Degree in Hospitality, Business, or a related field preferred
