PRINCIPAL DUTIES AND RESPONSIBILITIES

     

    Assists in purchasing agency supplies as delegated by the Director of Purchasing.

    Assists Director of Purchasing and Purchasing Agent as needed in researching and obtaining competitive bids for the agency.

    Assists in ensuring compliance of the purchasing policies and procedures throughout the organization.

    Writes purchase orders as directed by the Director of Purchasing and Purchasing Agent. 

    Assists in verifying designated invoices and credit card receipts for proper expense codes prior to submission to Accounts Payable.

    Assists in the logistics of supplies and the tracking of designated items.

    Assists Director of Purchasing, Purchasing Agent and Dietary Director with End of Year inventory at LMCH, SWLA, SELA and OWL Center kitchens.

    Assists in maintaining the upkeep and organization of the Warehouse.

    Assists with identifying inventory management issues that can be improved and recommend plans for correction.

    Accept and perform additional duties not listed in the job description, but which are necessary for the efficient operation of the Business Office. Such as the collection of mail from the Post Office, pulling files for the Business Office, filling in as needed in the reception area at Webb Hall or assisting Accounts Payable with filing.

     

    QUALIFICATIONS

     

    Must possess a High School Diploma or GED equivalent, with experience in purchasing, inventory or accounting. Experience may be substituted with the pursuance of a degree in a related field.

     

    CHARACTERISTICS

     

    Must be a responsible individual and able to perform purchasing responsibilities that require independent judgment while taking into account speed, accuracy and professionalism.

    Must have the knowledge and the ability to communicate freely and positively through email, letters, telephone or personal contact.

    Must have some computer skills to include experience with Microsoft Excel, Word and PowerPoint.

    Must be able to compile reports related to inventory.

    Must be able to communicate effectively and professionally with staff and vendors while maintaining a positive customer service experience.

    Must have an eye for detail, a strong work ethic and be willing to commit to significant job responsibilities.

    Must be able to function effectively independently and as a team member with a focus on problem-solving, outcomes, and performance improvement related to proper inventory management.

    Must possess or be able to procure a Class D driver’s license and be willing to travel on occasion.

    Must possess a strong sense of maturity and integrity in working with staff, youth, and the public.

     

      EMPLOYMENT PROVISIONS

       

      Time on Duty:          To be arranged so as best to accomplish the work to be done. To follow a basic office schedule from Monday through Friday from 8:00 a.m. to 5:00                                                p.m.  Lunch 12:00 noon – 1:00 p.m.

       

      Salary:                        As provided for in the Annual Budget.

       

      FLSA Exemption:       Non-Exempt

       

      Benefits:                      As stated in Personnel Policies and Procedures and determined by Board of Directors.
