Job Description:
Welcome to Schnabel! We approach problems with creativity and innovation. Schnabel is in search of a part-time Administrative Assistant with a positive can-do attitude to support Schnabel’s Seattle, WA office. The right candidate will be highly organized, capable of multi-tasking, committed to quality and able to utilize sound judgment when working with vendors, clients and employees. We are looking for a motivated candidate with attention to detail, a passion to support others, and a desire to be part of a strong multi-disciplinary team. Our Seattle office includes civil, structural, hydraulic, geotechnical, and mechanical engineers; designers; and support professionals. The anticipated hours per week are 20-30 hours. Working hours will not exceed 30 hours a week.

Job Responsibilities:
- Contribute to fostering a vibrant and positive workplace culture by planning and organizing events, initiatives, and team-building activities.
- Schedule and coordinate office meetings and social events, including reserving spaces, ordering food and managing all pre- and post-event logistics.
- Book travel arrangements for guests and staff as needed.
- Track expenses, code invoices, and submit requests for payment to Accounts Payable.
- Onboard new hires and be a point of contact for basic HR and company policy questions.
- Maintain office security system.
- Coordinating with property management for the office buildings for both Seattle and Portland offices.
- Maintain internal training records.
- Maintain inventory of office supplies such as computers, equipment, field supplies, office supplies and kitchen supplies.
- Maintain company vehicles and keep records on vehicles.
- Facilitate reception and answer phones and greet visitors, as necessary.
- Coordinate mail and package shipment/delivery and receipt.
- Provide remote administrative support for our satellite office in Portland, along with other Schnabel offices, as requested.
- Review timesheets and expense reports for coding accuracy.
- Process certificate of insurance requests.
- Set up projects in the company resource planning software, when requested.
- Assist with other needs, as assigned.
Required Skills/Experience:
- 5+ years related experience in office administration.
- Proficiency in Microsoft Office (Word and Excel), including Word features such as styles, citations, captions, cross-referencing, footnotes, table of contents, heading levels, table properties, links, bookmarks, and section/page breaks, etc. Experience with Microsoft SharePoint and Teams preferred.
- Proficiency with Adobe Acrobat Pro and/or Bluebeam including creating PDF from different types of source files, compiling multiple files into a single PDF, adding/removing/editing bookmarks, adding links, and compressing.
- Experience with VantagePoint, or other enterprise resource planning software
- Strong interpersonal and written communication skills.
- Ability to build relationships across the organization to be most effective in the role.
- Notary or ability to obtain notary commission within two months of hire.
- Ability to multi-task while staying highly organized.
- Ability to lift up to 30 pounds and alternate between sitting and standing.
- Occasional travel to other offices
- Willingness to occasionally work outside of standard business hours to support business needs and office events (these hours are also compensated for)
Other Requirements:
- Ability to pass a background check which may include criminal history, motor vehicle record.
- Ability to pass a pre-employment screening.
The compensation range for this position is between $18/hour to $25/hour. Compensation for this position may vary based on geographic location and other factors. We remain committed to providing competitive and equitable compensation to all employees, regardless of their location.
