Project Coordinator Job Description
Job Title: Project Coordinator
Department: Project Management / Operations
Reports To: Project Manager/ Plant Manager
Job Summary
The Project Coordinator will support the Project Management team in the planning, documentation, and execution of large-scale industrial HVAC projects. This role ensures all administrative, logistical, and communication aspects of the project are handled efficiently, keeping projects on schedule and within budget, and ensuring compliance with all safety and quality standards.
Key Responsibilities
Project Support & Documentation:
- Maintain and monitor project plans, schedules (including critical path items), budgets, and expenditures specific to industrial equipment and installation timelines.
- Manage and track the procurement of equipment, materials, and supplies (e.g., wallmounts & parts ) to ensure timely delivery to the job site.
- Assist the Project Manager with change orders, processing submittals, and generating Requests for Information (RFIs) related to drawings and specifications.
- Handle all project documentation, including submittals, OFA’s, and close-out documents, ensuring they are organized and accessible.
Coordination & Communication:
- Serve as the communication liaison between the Project Manager, Purchasing, and manufacturing.
- Schedule and coordinate meetings (including kickoff meetings, progress reviews, and Open Order mtgs, preparing agendas and recording/distributing meeting minutes and action items.
- Communicate project status, changes, and updates to all relevant stakeholders in a clear and timely manner, escalating issues (like delays or material shortages) quickly.
Financial & Logistical Oversight:
- Process and track project-related invoices, purchase orders, and warranty documentation.
- Assist in monitoring labor hours and equipment costs to ensure they align with the approved budget.
- Coordinate the mobilization and demobilization of heavy equipment and necessary tools to various industrial sites.
Qualifications
Required:
- 2-3 year(s) of experience in a Project Coordinator, Construction Administrator, or similar role.
- Exceptional organizational skills, with the ability to manage multiple projects simultaneously.
- Strong verbal and written communication skills to effectively interact with engineers and clients.
- Proficiency in Microsoft Office Suite (Word, Excel) and project scheduling software (e.g., MS Project, MS TEAMS, or similar management platforms).
Preferred:
- Associate's or bachelor’s degree in project management, Engineering, or a related field.
- Familiarity with interpreting electrical drawings and electrical diagrams.
- Knowledge of safety protocols specific to manufacturing environments.
