 Position Overview- 


 At Bergen’s Promise, Inc., we rely on a meticulous financial system to drive our mission forward. The Accounts Payable (AP) function keeps that system running smoothly by managing cash flow and ensuring timely, accurate payments to vendors, suppliers, and staff. We are seeking a skilled Accounts Payable Specialist to join our finance team and play a vital role in processing, tracking, and recording payments efficiently. This position will have a daily impact on our financial operations—keeping us accurate, on schedule, and on good terms with our valued partners.


 Objectives:   


· Support the company in optimizing financial transactions and systems

· Strengthening and growing relationships with vendors, suppliers, and staff through timely payments. 

· Assist in streamlining and improving the accounts payable process. 

· Exercise integrity and confidentiality in financial reporting. 

· Ensure compliance with national, state, and local financial regulations. 


 Duties & Responsibilities:  


· Invoice Processing: Review, code, and enter invoices into the accounting system, ensuring proper documentation and approvals are obtained. 

· Payment Processing: Prepare and process payments to vendors via checks, ACH, or other electronic transfers

· Account Reconciliation: Reconcile vendor statements with company records, investigating and resolving discrepancies. 

· Record Maintenance: Maintain accurate and organized digital and/or paper files, including invoices, purchase orders, and  payment records.

· Vendor Communication: Serve as a professional point of contact for vendors and internal departments regarding payment and invoice inquiries. 

·  Month-End Close: Assist with monthly closings activities, including accruals and reconciliation of AP sub-ledgers. 

· Compliance: Adhere to company policies, financial procedures, and relevant regulations, including 1099 reporting requirements. 

· Audit Support: Provide timely, accurate documentation for internal and external audits.

Requirements

 Qualifications- 


 Education and/or Experience: 


· High school diploma required, Associate degree in accounting, finance, or related field preferred (or equivalent experience).

· 2 – 5 years of experience in accounts payable or related accounting role.

· Understanding basic finance, accounting, and bookkeeping principles

· Strong organizational skills with ability to manage high volume of invoices and tasks

· Superb time management and detail orientation

· Excellent verbal and written communication skills.

· Strong critical thinking skills to resolve invoice discrepancies and vendor issues.

· Proficiency in Microsoft Office (especially Excel) and familiarity with QuickBooks

· Ability to maintain confidentiality of company and partner information

· Proven ability to work independently and as part of a team.

· Adaptability and willingness to learn and grow in a dynamic environment 


 Special Skills: 


· Strong mathematical and analytical skills

· Experience with accounting software and online platforms

· Excellent organizational skills and attention to detail.

· Excellent interpersonal skills. 


 Physical Effort: 


 Driving; Lifting office supplies and client files.
