Vetfriends Chatswood is looking to fill the role of a dedicated, passionate, and customer service-focused Receptionist to join our wonderful and supportive, growing team. This role is on a casual basis which has the potential to turn into a permanent role for the right candidate.

Vetfriends Chatswood is a purpose-built clinic that opened its doors in 2005. We provide modern, professional, and gold-standard health care for pets in our local community of long-standing clients. With a caring and gentle approach to treatment and consultations, we aim to make our clients and patients feel at ease in the clinic. We are a team who are committed to providing gold-standard veterinary medicine to our patients and excellent service to our clients- many of whom are insured, and we work closely with surrounding specialist hospitals. If you’re a cat lover, you’re in for a treat! We are a gold-certified cat-friendly clinic with a separate cat waiting area/cat consult room/cat ward/cat boarding, and we have a key focus on our feline & rabbit friends!

About you:

  • Highly skilled in customer service with effective time-management skills and attention to detail

  • Passionate about providing gold standard customer service to clients.

  • Client-focused with a professional and warm approach to clients and their pets.

  • Ability to work under pressure and multitask.

  • Ability to show empathy and compassion towards both clients and their pets.

  • Experience or exposure in the veterinary industry is desirable but not essential if you have transferable skills- training will be provided.

  • Prior receptionist-related and administrative experience is important.

  • Being computer illiterate, i.e., understanding Word/Excel/Outlook, and PIMS Rxworks, is beneficial.

  • Excellent and polite phone manner

  • Ability to work efficiently both as part of a team and independently.

Key Responsibilities:

  • Answering client calls and enquiries

  • Scheduling appointment bookings

  • Welcoming and checking in clients for their appointments & patient admissions to hospital.

  • Answering and actioning emails.

  • Organising surgery bookings documentation.

  • Communicating with and working alongside Veterinarians and Veterinary Nursing staff.

  • Assisting with stock management.

  • General administrative tasks.

  • Providing clients with parasiticide & dietary product advice and basic triage questions over the phone (as per veterinary staff advice & training).
