Job Title: Retail Administrative Coordinator                            
Reports to: Store Director                            
Division: Retail, Flagship

OVERVIEW:

We are seeking a highly organized and detail-oriented individual to join our team as a Retail Administrative Coordinator (in-store). This role is essential to ensuring smooth day-to-day operations of the store by managing staff administration, client appointment scheduling, and onboarding processes. The ideal candidate is proactive, reliable, and comfortable balancing multiple responsibilities in a fast-paced retail environment.

ESSENTIAL JOB RESPONSIBILITIES:

  • Onboarding & HR Administration
    • Prepare and coordinate onboarding materials for new hires.
    • Track and monitor onboarding progress to ensure timely completion.
    • Schedule and organize interviews as required.
    • Maintain records of timesheets, time-off requests, vacation balances, and attendance in partnership with Store Management.
  • Staff Scheduling
    • Prepare and update weekly/monthly store staff schedules.
    • Ensure adequate coverage to meet business needs while respecting employee availability in partnership with Store Management.
    • Communicate schedules and updates to the team in a timely manner.
  • Client-Facing Support
    • Manage and maintain the client appointment calendar.
    • Answer phone calls and direct inquiries to the appropriate team member.
    • Provide administrative support to ensure seamless client experiences.
  • Operational Support
    • Assist with internal communication and coordination across teams.
    • Support store leadership with reporting, tracking, and documentation as needed.

QUALIFICATIONS

  • Proven experience in administrative or office coordination, preferably in a retail or customer-facing environment.
  • Strong organizational and multitasking abilities with excellent attention to detail.
  • Proficiency with scheduling tools, spreadsheets, and calendar management.
  • Effective communication skills, both written and verbal.
  • Ability to handle sensitive information with discretion.
  • Flexible and adaptable to shifting priorities in a dynamic environment.

SALARY RANGE: $23.00-$25.00
