The Program/Project Coordinator plays a crucial role in providing strategic support for a mid to large-scale organizational program within the orthopedic field by coordinating all operations to ensure effective management according to established standards.

Primary Duties and Responsibilities:

  • Schedule Coordination: Develops and maintains program/project schedules and agendas, tracking outcomes, and composing meeting notes and communication with management and partners.
  • Interdepartmental Collaboration: Collaborate with various departments, staff, leaders, and external partners, providing coordination for logistics and information as advised by leadership, particularly in relation to orthopedic initiatives.
  • Offer weekly progress reports to supervisor regarding completion rates for these required reporting patients.
  • Event Management: Organizes and coordinates the development of events, outreach activities, meetings, and materials that promote and coordinate the orthopedic program or project. Represents both the program and the organization at relevant events.
  • Will call all total hip and total knee patients who have not completed their CMS TKA/THA questionnaires prior to surgery and after surgery. 
  • Will be handling the patient questionnaires on behalf of individuals in CS-Link.
  • Support ongoing review with Surgical Operations of solutions for collecting and reporting questionnaire data
  • Fosters collaborative and positive relationships with internal teams and external parties, ensuring effective communication and partnership. May also serve as a resource for education, training, onboarding, and mentorship related to orthopedic programs or projects.
  • Budget Management: Supports the development and management of program/project budgets, maintaining and supervising all financial documents and file, while working with departments, vendors, and community partners as vital for orthopedic projects.
  • visit patients in pre-op to complete questionnaires by proxy if all other methods of contact have been unsuccessful.
  • Responsible for creating reports to assess project or program performance and daily operations. This includes detailing and tracking compliance with orthopedic program/project standards.
  • Operational Feedback: Provides constructive feedback to management and offers recommendations for improving program/project operations and procedures related to the orthopedic initiative.
  • Will collaborate with other clinics, such as Hand and Spine to share knowledge and workflows for the collection and reporting of Patient Reported Outcomes.
  • Will navigate CS-Link to review patient questionnaire status and enter answers by proxy.
  • Will collaborate with the MGB clinic to increase completion of all Patient Reported Outcomes, regardless of insurance and type of visit.
  • Meet with clinic staff to develop workflows to improve completion rates of questionnaires in clinic
  • Review and analyze existing Tableau Dashboards for CMS TKA/THA questionnaire completion and prepare updates to manager and CEV team on a monthly, quarterly, and yearly basis.

This is a full time position with a pay range of $30.46 - $47.21.

Qualifications

Education & Experience Requirements:

  • High School Diploma / GED required. Bachelor's Degree in Health care, Business Administration, Management or related field preferred.
  • Two (2) years of progressively responsible administrative or strategic support experience required.
  • Two (2) years of organizational program or project coordination or support experience; using program/project management and development procedures preferred.
  • GME experience is desirable.
  • Previous hospital or healthcare experience is a plus.
  • Excellent communication & organization skills is strongly preferred.
