Under direct supervision, the Administrative Assistant to the Director of Construction & Industrial Technology provides comprehensive administrative and organizational support for the Continuing Education Construction & Industrial Technology programs. This position serves as a key point of contact for students, faculty, staff, and community partners, while managing a wide range of office, communication, and program support functions. The Administrative Assistant plays a vital role in maintaining accurate records, coordinating day-to-day activities, and supporting the Director in advancing the mission of lifelong learning and workforce development.


Position Duties

  • Provides administrative support to the Director, including scheduling, correspondence, and file management.
  • Responsible for monitoring office supplies, equipment, and resources; coordinates purchases as needed.
  • Assists in the coordination office operations, events, and program activities for Continuing Education Construction & Industrial Technology.
  • Manages data, records, reports, and personnel documentation to support program operations including but not limited to instructor contracts, course schedules, and enrollment.
  • Serve as the first point of contact, delivering professional communication and customer service to students, staff, and external partners.
  • Assist with marketing, outreach, and liaison activities across departments and community organizations.
  • Maintain confidentiality and ensure compliance with college policies, procedures, and regulations.

Minimum Qualifications

Associate’s degree in Communication, Business, or a related field; two (2) or more years of administrative support experience; or an equivalent combination of education and experience which provides the required skills, knowledge and abilities; proficiency in Microsoft Office Suite; Bachelor's degree preferred and experience with Ellucian Colleague.

Other Qualifications

Work Environment: Primarily office setting; requires frequent use of standard office equipment; Frequent interaction with students, faculty, staff and external partners in person, by phone and through electronic communication.


Physical Demands: Primarily sedentary, with extensive periods of sitting or standing; Occasional lifting, carrying or moving of materials, supplies or equipment up to 20 pounds; requires effective verbal and written communication skills.


Normal Working Hours: Standard schedule, Monday – Friday; occasional evening or weekend hours may be required to support College events, training sessions or compliance deadline; flexibility may be necessary to meet departmental needs or timelines.
