The Team Lead assists with day-to-day supervision of clinical staff assigned to a Physician or Pod in addition to typical Medical Administrative Assistant and Surgery Scheduling responsibilities
Essential Job Responsibilities:
- Participates in the training, supervising, and evaluating assigned staff under the supervisor's direction.
- Assists with scheduling staff to meet changing workload needs, including filling staff gaps.
- Provides professional and technical support to staff and troubleshoots the delivery of patient care.
- Identifies training needs for staff and facilitates staff development. Participates in the development, implementation, and evaluation of training, orientation, and education programs
- Review and use clinical and medical records to determine health care patterns and assign appropriate resources. Recommend corrective actions to the supervisor.
- Coordinate and schedule surgeries and procedures and follow-up appointments as designated by physicians according to established policies and procedures.
- Interact with patients’, physicians and other staff within the clinic and at outside facilities providing accurate, timely and responsive information.
- Coordinate arrangements for surgical assistants, special equipment, and surgical materials.
- Schedule diagnostic therapy and other treatments as requested.
- Obtain authorization for surgery from patient’s insurance company.
- Provide the patient with generic preoperative information sheets and advise the patient of preoperative surgical and financial requirements.
- If needed, submit the patient's clinical and financial information to the facility, assuring that the appropriate medical records are released.
- Answer and screen telephone calls courteously, and record messages for the physician and other personnel.
- Obtain accurate patient information and ensure all registration forms are complete.
- Provide information to patients regarding unpaid balances before procedure or surgery.
- File records in appropriate sections of patient electronic or paper charts and keep patient charts in proper order.
- Review financial and clinical paperwork to ensure completion before the scheduled procedure or surgery date.
- Maintain files and patient records confidentially.
- Other duties as assigned
Requirements
Education: High School Diploma
Experience: Minimum three years of experience in a clinical role. Experience as a team lead or office coordinator.
Performance Requirements:
Knowledge:
- Knowledge of clinical processes and principles. Familiar with state and federal laws related to health care.
- Knowledge of human resources management principles.
- Knowledge of medical practice protocols and standards.
- Knowledge of Electronic Medical Records
Skills:
- Skill in applying quality assurance techniques.
- Skill in training staff, both new staff members and existing ones.
- Skill in patient care documentation, including reviewing for accuracy and completeness.
Abilities:
- Ability to work as a medical assistant as needed
- Ability to communicate clearly with many different levels of staff.
- Ability to analyze medical records and documentation and identify problem areas.
- Ability to collaborate effectively with nursing and other clinical managers, physicians, and administrative staff.
Equipment Operated: Standard clinical and office equipment.
Work Environment: A Combination of medical office and exam rooms. Frequent exposure to communicable diseases, biohazards, and other conditions common in clinic settings.
Mental/Physical Requirements: Variety of walking, standing, sitting, bending, twisting, and reaching. Occasional need to lift/carry/move up to 50 pounds of equipment. Frequent stress if dealing with multiple tasks and staff.
