OVERVIEW:
This is an excellent opportunity for a self-motivated and highly engaged professional to support the Chief Executive Officer and Executive Team Leads, of a strong Community Bank, located in Taunton, Mass. The Executive Assistant is responsible for proactively planning and managing extremely challenging and demanding work schedules. The incumbent will provide general support and coordination of the Executive Office, which may include time management, report generation, relationship development, creation and coordination of an electronic filing system, written and verbal communications with several critical stakeholders internally and externally to the bank. A proven track record of performing with professionalism, diplomacy, confidentiality and discretion. This is an expert who can work in a fast paced environment and handle multiple, sometimes conflicting priorities with sophistication and precision.
PRIMARY ACCOUNTABILITIES / RESPONSIBILITIES:
Perform any functions necessary, within the scope of authority and expertise, to provide the highest level of service and responsiveness to clients.
1. Provides general administrative support to the CEO and Executive Team Leads, composes correspondence, coordinates meetings, provides reports, schedules appointments, processes expense reports and time cards, manage travel itineraries, answers and/or redirects telephone calls, and email correspondence with appropriate prioritization. Creates and manages an organized email system to ensure an organized and prioritized information stream. Eliminates scheduling conflicts and anticipates time requirements throughout the day.
2. In conjunction with the Board Secretary, prepares the CEO and COO for Board meetings and subcommittees of the Board by obtaining and preparing the necessary documentation needed. Compiles and distributes Board agendas, critical actions and background materials via the Bank’s internet-based Board reporting portal. Serves as communication liaison between the CEO, COO/Executive Officers and Board of Directors.
3. May be involved in coordinating administrative support for periodic Bank’s events, which may involve the Board of Directors, Sr. Executives, Officers or the whole of the company population.
4.Maintains customer and company confidence and protects operations by keeping information confidential.
5. Manages and may create essential file systems, documents and work streams to maintain the preparedness of the Executive for meetings and deadlines by anticipating requirements. Establish an efficient filing system that will institute a proficient means of accessing critical information at a moment’s notice.
6. Review operating practices and implement process improvements where necessary.
7. Maintains a composed, professional and trustworthy presence for the Office of the President at all times even in the face of high volume or challenge.
OTHER ACCOUNTABILITIES / RESPONSIBILITIES:
1. Performs any unrelated duties as may be required.
2. Represents and promotes the Bank by taking an active role in various community activities as time permits.
May be asked to assist other C-Suite members periodically when activity demands.
POSITION REQUIREMENTS:
- Excellent communications and relationship management skills
- Must be at an advanced level of Power Point. Some duties may include, Development in Slide Master, animation, insertion of video clips, transition timing and customized design.
- Must have advanced level skills using Microsoft Excel with the ability to do: Pivot tables, formula, V, H or X Lookup, file comparisons and macros among others.
- Must have advanced skills using Microsoft Outlook using such features as Auto Rules, Task Assignments, Conditional Formatting, Calendar Sharing, Email Scheduling, Customization of tasks, and Reminders among others.
- At least 10 years’ experience supporting a C-suite member, preferably in the Financial Services industry.
- Successful proficiency with composing communications with a detailed and consistent focus on grammar, spelling and general message flow.

Performs work within established guidelines and according to specific procedures. May resolve some problems rather than referring them on. Prefer an independent learner with creative abilities. The position requires a person who can work in a fast paced and stressful environment and have the ability to prioritize based on executive management strategic goals and objectives as well as multi-task.
