Emergency Veterinary Clinic of Niceville provides emergency and urgent care for dogs, cats, and exotic pets in the coastal communities — from Panama City to Pensacola. We are searching for a Full-Time Veterinary Referral Coordinator to join our growing team!
The Veterinary Referral Coordinator plays a pivotal role in managing and facilitating the referral process for emergency and specialty veterinary care. This position involves acting as the primary liaison between referring veterinarians, clients, and our surgical/emergency team, ensuring a seamless and efficient referral experience. The coordinator will handle the intake and processing of referral requests, schedule consultations and procedures, and provide detailed information to the community about emergency and specialty care options. They will also maintain comprehensive records, follow up on referrals, and address any questions or concerns from clients and referring practices. With strong organizational skills and a deep understanding of veterinary specialties, the coordinator ensures that each referral is managed with precision and empathy, contributing to the high standard of care and service provided by our center.

With strong organizational skills and a deep understanding of veterinary specialties, the coordinator ensures that each referral is managed with precision and empathy, contributing to the high standard of care and service provided by our center.
This position requires local travel up to 75% of the time to visit referring veterinary clinics, deliver marketing materials, provide in-person case follow-ups, and strengthen partnerships with the veterinary community. Some (less than 25%) overnight travel may be desired for expansion of business when needed.
Key Responsibilities
Outreach, Relationship Building & Local Travel:
- Develop and maintain positive relationships with referring veterinarians through follow-ups, hospital visits, and educational outreach.
- Conduct regular in-person visits to referring clinics (up to 75% local travel) to strengthen relationships, deliver materials, and discuss patient referrals.
- Assist in organizing Continuing Education (CE) events, newsletters, and networking opportunities for referring veterinarians.
- Gather feedback from referring clinics to enhance service quality and referral experiences.
- Represent the hospital at local veterinary conferences and community events as needed (may require evenings and weekends)
- Maintain Social media pages with team
Referral Management & Communication:
- Serve as a point of contact for referring veterinarians and pet owners regarding surgery and emergency cases.
- Maintain open, professional communication with referring veterinary clinics via phone, email, and electronic medical record (EMR) systems.
- Ensure referring veterinarians receive appropriate discharge summaries and medical records.
Scheduling & Coordination:
- Work closely with veterinarians and technicians to prioritize urgent cases while managing a high caseload.
- Ensure the transfer of medical records, imaging, and lab results between referring clinics and hospital departments.
Hospital & Departmental Collaboration:
- Work closely with emergency, surgery, and future specialty service teams to optimize referral workflows.
- Participate in team meetings to improve interdepartmental communication and efficiency.
- Maintain accurate records of referral cases, tracking trends and identifying areas for service improvement.
Qualifications
- Previous experience in veterinary medicine, customer service, referral coordination, or veterinary sales preferred.
- Strong knowledge of veterinary specialties, terminology, and patient care processes.
- Excellent communication, organization, and multitasking skills.
- Proficiency in veterinary software (Avimark) and EMR systems
- Ability to work in a fast-paced environment while maintaining attention to detail.
- Compassionate and professional demeanor when interacting with veterinarians, pet owners, and hospital staff.
- Valid driver’s license and reliable transportation required for frequent local travel.
Preferred Qualifications:
- Certified Veterinary Technician (CVT, RVT, LVT) or experience in veterinary practice management.
- Experience in a multi-specialty or emergency veterinary hospital setting.
- Familiarity with referral management software and veterinary CRM tools.
- Prior experience in veterinary sales, outreach, or business development.
