DEVELOPMENT OPERATIONS MANAGER 

 

The Fresh Air Fund is a youth development organization providing transformative outdoor experiences, at no cost, for New York City children from underserved communities. At six sleepaway camps in New York’s Mid-Hudson Valley, children have new experiences, learn new skills and gain new perspectives. Youth also participate in year-round leadership, career exploration and educational programs.  

 

The Fresh Air Fund (The Fund) seeks a Development Operations (DevOps) Manager to join the Development department. 

 

 

Position Summary:  

 

The Fund is seeking a detail-oriented Development Operations Manager to oversee and develop efficient systems to assist the department’s fundraising efforts. This position will be supported by the department’s two Development Associates to carry out all tasks related to data management & hygiene, internal reporting, fundraising operations, financial reconciliation, and event administrative support. The Manager will possess proficiency with technology, curiosity about learning and improving systems, commitment to maintaining high quality of data integrity, and strong organizational skills. 

 

The DevOps Manager position is a full-time hybrid position based in our New York City office and currently requires three days in the Office. The position reports to the Chief Development and Communications Officer, oversees the work of two Development Associates, and collaborates with all Development team members. 

 

 

Responsibilities: 

 

  • Oversee the donor database and work closely with the department’s two Development Associates to ensure all gifts are processed and recorded in a timely and accurate manner
  • Oversee the acknowledgement process to guarantee regular and prompt recognition of all gifts, taking extra care to ensure all Board gifts and other notable contributions are communicated internally to the team upon receipt
  • Create and continuously monitor reports and dashboards to track results across all revenue channels for use by the Development team and to share with leadership and the Board; develop new reports that assist development efforts in using data to inform its fundraising operations
  • Lead the Development team’s usage of all fundraising software; including The Fund’s CRM system (Salesforce) and email marketing and donation page software (EveryAction); train and support the team in usage and best practices
  • Serve as the point of contact with The Fund’s Direct Marketing consultants. Actively participate in weekly status and monthly strategy meetings with the DM team; ensure all content and feedback for solicitations meets deadlines; ensure all Direct Marketing reports are created and delivered in a timely manner; submit and track invoices related to the marketing program
  • Provide data management and technical assistance in the planning of special events, including: managing guest lists; supporting registration; creating event-specific donation pages; distributing event invitations; and providing day-of support. Ability to work occasional evenings and weekends for events
  • Perform monthly, quarterly, and annual reconciliation with Finance team
  • Manage database integrations with email marketing tools, event platforms, peer-to-peer fundraising systems, and financial systems
  • Carry out ongoing data maintenance and hygiene, including record maintenance, account creation, pledge creation, duplicate management, troubleshooting, and more
  • Identify and implement opportunities for process automation and workflow improvements
  • Maintain departmental files, documents, and procedures

 

Qualifications: 

 

  • Bachelor’s degree or equivalent; 3-5 years of experience in fundraising operations, development services, or nonprofit database management
  • Excellent technology skills: strong experience with Microsoft Excel and CRM required (Salesforce experience preferred)
  • Experience with fundraising processes including gift entry, acknowledgements and pledge tracking; understanding of nonprofit fundraising strategies and donor stewardship best practices
  • Strong project management experience, excellent attention to detail, and the ability to juggle multiple deadlines while staying communicative
  • Excellent interpersonal skills; able to represent The Fund well in-person and via phone and email.
  • Ability to handle pressure with grace and diplomacy; able to anticipate problems and present solutions quickly.
  • Team player who is eager to collaborate within the department and across the organization.
  • Comfort with and ability to learn new systems and technology quickly and seek improvements and efficiencies.
  • A commitment to and enthusiasm for The Fund’s mission and work

 

Salary & Benefits: 

 

The salary range for this role is $65,000 – 75,000, commensurate with experience. The Fresh Air Fund offers a generous benefits package including medical, dental and vision insurance, flexible spending accounts, commuter benefits, and employer and employee retirement contribution plans.
