Event Coordinator & Marketing Assistant
Department: Support Staff Grade: 8
Reports To: Marketing Manager Classification: Non-Exempt

Role:
Plan, schedule, and attend events. Responsible for assisting the marketing department in all campaigns and promotions. Provide assistance to department manager and perform a variety of administrative and clerical duties.
Essential Functions & Responsibilities:
E 60% Coordinates special events; monitors planning, schedules and implementation as required for proper execution of each event. Coordinates the annual meeting, including production of reports, brochures, facilities, and meeting logistics. Assists in scheduling and/or arranging appointments, events, and meetings. Maintain the department's calendar of events and schedules. Attends events hosted by the credit union and community events.
E 15% Provide administrative assistance to the Marketing Manager, utilizing a range of computer software applications to include Windows, Microsoft Office, and other graphics software. Maintain inventory of marketing supplies, promotional items and brochures. Identify when to reorder and place orders to replenish inventories. Develop forms and letters for use in the Marketing Department and throughout the credit union.
E 10% Assists in planning, coordinating, and executing marketing and advertising campaigns and sales promotions. Coordinates advertising programs and collateral materials. Edit marketing collateral and other marketing materials. Proof work of others for accuracy and completeness. Assist in the creative design process.
E 5% Prepare routine to complex correspondence on a variety of subject matters relating to marketing business. Ensure accuracy of work. Answer the department's telephone, disseminate information or resolve questions, and/or route calls to appropriate individual. Take messages and coordinate follow through.
E 5% Maintain up-to-date and complete paper and electronic files for the department and inventory.
N 5% Performs other job-related duties as assigned.
Performance Measurements:
1. Consistently follows The North Star Way Service Competencies and Service Standards.
2. Assist Marketing Manager in providing direction and recommendations to management, based on current research data, regarding market strategies and directions the credit union should take.
3. Accomplish all assigned projects in accordance with applicable credit union policy and procedures as well as any state and federal rules and regulations, keeping management informed of any problematic areas.
4. Ensure all communications (such as brochures, website, signs, billboards) are accurate, timely and within budget guidelines.
5. Deliver planned results within budget.
6. Provide informed, professional, accurate service and support to all members and associates.
7. Prepare specifications and send requests for proposals (RFP's) as assigned, performing cost and benefit analysis on RFP's when they are received.
8. Ensure assigned reports are accurately prepared and delivered in a timely manner.
9. Proactively participate in at least one regular networking opportunity within the community as a representative of the credit union.
10. Minimal unplanned absences and tardiness.
Knowledge and Skills:
Experience: One year to three years of similar or related experience.
Education: (1) A two-year college degree, or (2) completion of a specialized certification or licensing, or (3) completion of specialized training courses conducted by vendors, or (4) job-specific skills acquired through an apprenticeship program.
Interpersonal Skills: Work involves extensive personal contact with others and is of a personal or sensitive nature. Motivating, influencing, and/or training others is key at this level. Outside contacts become important and fostering sound relationships with other entities (companies and/or individuals) becomes necessary and often requires the ability to influence and/or sell ideas or services to others.
Physical Requirements: This position requires the ability to perform tasks that involve physical activity, including lifting and moving boxes of promotional items and supplies as needed. Will also be involved in setting up and taking down materials for events, which may include tables, signage, and other equipment. The role may involve extended periods of standing or walking during events and occasional lifting of up to 40 pounds.
Work Environment: Travel between branch locations is expected as part of supporting events and marketing initiatives, with minimal overnight travel required.
