Position Summary: 

The Deputy Site Director is responsible for quality assurance, staff training, contract compliance, and performance management of the WeCARE office; providing daily strategic, fiscal, and operational leadership. The Deputy Site Director collaborates with WeCARE management staff to continuously improve performance and to pivot in areas requiring special attention.

 

Essential Job Functions:

  • Provides leadership oversight of Fedcap’s WeCARE program operations ensuring they are in compliance and meet contractual goals and requirements.

  • Directly supervises management staff for Fedcap WeCARE Program.

  • Continually focuses team on high performance, providing ongoing feedback and coaching.

  • Motivates and maintains a diverse and cohesive staff, ensuring that there are strong internal communication, coordination, accountability, and inclusivity

  • Ensures that all program goals are met or exceeded, including outcomes tracking and reporting

  • Ensures each department meets weekly/monthly/quarterly/yearly contractual goals and adjusts for new operational goals set by the HRA.

  • Works with management staff to develop and implement operational systems and procedures for client flow, outcomes tracking, program evaluation, use of space, supplies, etc.

  • Oversees and manages Fedcap budgets with support from Fedcap’s finance manager to ensure appropriate spending, invoicing, and compliance with billing and finance policies and procedures.

  • Develops and implements operational systems and procedures for client flow, outcomes tracking, program evaluation, use of space, supplies, etc.

  • Provides weekly performance management oversight of Education/Training, Community Service, Internships, Employment and Retention Services.

  • Affirms department leads maintain updated program policies and procedures, revising and updating as appropriate, and submitting for HRA approval as required.

  • Meets with WeCARE management staff to review volume indicators, process metrics, outcome metrics, case reviews, customer satisfaction surveys, and complaints on a monthly basis.

  • Provides support with internal and external stakeholders and partners to leverage services.

  • Reviews staffing structure, delegation of responsibilities, and workload for areas requiring adjustment.

  • Engages Fedcap Quality Assurance to assist with conducting quality assurance checks.

  • Serves as subject-matter expert for program operations, providing input to funder based on observations and expertise in specific areas of frontline operations.

  • Conducts staff evaluations and provides staff development.

  • Abides by Fedcap policies and procedures, including accurate and timely updating and submission of all spreadsheets, reports, and paperwork.

  • Evaluates Fedcap WeCARE Program to measure outcomes and develop new initiatives as needed.

  • Meets with clients who wish to make complaints, need information, or want to provide feedback to the department.

Education and Experience:

  • Bachelor’s degree in Nonprofit Management or a related field.

  • A minimum of 5 years of relevant experience in operations, human resources, social services, education, or a related field.

  • A minimum of 3 years management experience.

  • Experience working with Case Assistance/TANF recipients, the homeless, formerly incarcerated people, and those affected by the challenges associated with poverty with an emphasis in medical and mental health as well as substance use disorder. Or an equivalent combination of related education and experience.

 

Knowledge, Skills and Abilities:

  • Ability to work with people from diverse backgrounds and be sensitive to maintaining confidentiality

  • Highly organized and detail-oriented

  • Strong verbal and interpersonal communication skills required

  • Must be computer-literate and proficient in Microsoft Office

  • Able to take direction from multiple leaders and to work independently

 

Supervisory Responsibility:

This role directly supervises site supervisors.

 

 

Travel:

Travel is primarily local during the business day, although some out-of-the-area and overnight travel may be expected.
