The American Hospital Association (AHA) is a national organization that represents and serves all types of hospitals, health care networks, and their patients and communities. The AHA has two main offices, located in Washington, D.C. and Chicago. We are currently seeking a Director, Facilities Management for our Chicago office. This opportunity is needed in the office 5 days a week.
Starting base salary = $102,000- $128,000- $154,000 (commensurate with related experience). The AHA is committed to fair and equitable compensation practices. A candidate's salary is determined by various factors including, but not limited to, relevant work experience, skills, certifications, and location.
The Director, Facilities Management, is responsible for directing, coordinating and overseeing the administration of facility-related operations and services in an office environment. Ensure smooth operations that include lease administration, space planning and utilization, construction project management, capital expenditures (lease improvements), repairs and maintenance, employee health and safety, mail services, copy and printing services, internal meeting arrangements and reception services. Provide assistance to the Senior Director, Facilities Management on various facilities-related and management issues.
Essential Functions include, but are not limited to the following:
- Support the development and management of the annual operating and capital budgets for the office. Gather data on planned expenses, monitor monthly financial reports, and work with facilities staff to address variances. Review contracts for leased equipment to ensure they align with operational needs and evolving work environments. Identify cost-saving opportunities and help plan for future capital expenditures.
- Direct daily office operations and services to ensure efficiency and high customer satisfaction. Oversee mail, shipping, printing, reception, security, and internal meetings. Direct warehouse services (currently Bright Key), including order fulfillment and related customer service. Coordinate office supply ordering, support greenhouse gas initiatives, and ensure smooth delivery of all facility-related services. Set and maintain service standards across areas.
- Assist Senior Director with construction and renovation projects. Collaborate with building management, architects, contractors, and vendors to track progress throughout all project phases—from planning to post-construction. Communicate with staff regarding issues that may impact daily operations.
- Collaborate with real estate brokers to manage lease obligations, track critical lease dates, and evaluate lease terms against market conditions. Review and audit landlord charges to ensure compliance.
- Serve as the secondary point of contact with property management. Communicate ongoing projects, addresses building issues, and maintain strong working relationships with landlords.
- Assist team with facility-related needs across the Chicago office and respond to operational concerns as they arise.
- Collaborate with IT to support infrastructure and with HR to address staff-related matters.
