Job Summary

This position will be the first point of contact for volunteers and students and will assist with the Gritman Foundation, as needed. This role is crucial in the navigation of a diverse number of individuals with unique student, volunteer, and donor requests. This position will handle a variety of tasks to ensure the smooth function of daily operations for Volunteer and Student Services and the Gritman Foundation in a fast-paced and diverse work environment.

Job Duties and Responsibilities

· Greeting, recruiting and training volunteers, Interns, Auxilians, Community Members and Chaplains

· Managing onboarding requirements and tracking in Gritman Volunteer Matters.

· Assisting with various administrative tasks in the Gritman Volunteer and Student Department and Gritman Foundation

· Managing donors within Gritman Foundation software including Thank You Cards

· Being adaptable to the daily needs of the Volunteer/Student Services and Foundation departments.

· Working quickly and efficiently to meet the needs of our hospital, students, volunteers, and donors.

· Onboarding and training volunteers in all departments

· Assisting with and supporting community events, including planning, set-up, attendance and take-down

· Assisting Auxiliary members, Berties Gift Shop and other projects.

· Supporting the Chaplain team, including posting schedules and meeting coordination.

· Assisting with various administrative tasks in the Gritman Foundation

Job Requirements

Required Education

High School Diploma or equivalent; additional qualifications preferred

Required Licenses and/or Certifications

No license required. CNA experience preferred but not required

Required Work Experience

Experience within Gritman preferred but not required

Required Knowledge, Skills, and Abilities

Exceptional and compassionate interpersonal skills to maintain a friendly and professional environment. Strong organizational skills with the ability to prioritize tasks efficiently. Accuracy when handling volunteer credentialing and donor information. Basic understanding of community services and sensitivity to patient and volunteer experiences. Must be able to maintain confidentiality and handle sensitive information discreetly. Comfortable managing a large diverse population group. Strong critical thinking skills, meticulous planning, scheduling and the ability to adapt and prioritize multiple tasks and deadlines simultaneously

Experience with Microsoft Office, Volunteer Management Software, Zoom, Power Point and organizational software preferred but not required

1. Walking, Standing, Sitting, & Data Entry.

2. Lifting/carrying of supplies and equipment weighing up to 50 pounds.

3. Occasional climbing of stairs to other levels of the building.

4. Stooping/kneeling/crouching to access supplies.

5. Frequent reaching/handling/fingering to complete paperwork, use the phone, and type on a computers keyboard or adding machine.

Environmental conditions

1. Subject to many interruptions.

2. Works inside a hospital providing frequent patient interactions, visitors, physicians, staff, and volunteers.

3. Requires visibility across both patient care and non-patient care areas, administrative offices, and community outreach sites.
