Administrative Aide I, A6 Pay Range $ 17.00 - $ 21.25 per hour

Under general supervision, performs clerical and administrative support to ensure efficient department operations. This involves a variety of tasks including assisting with various internal and external communication methods, entering data and preparing various types of reports and documents, and maintaining records. The position serves as a key point of contact for internal and external stakeholders, including vendors.

ESSENTIAL JOB FUNCTIONS:

  • Perform administrative tasks including, but not limited to:

    • typing and producing correspondence,

    • routing incoming and outgoing mail, emails and calls,

    • entering and maintaining data across multiple software platforms and databases,

    • maintaining accurate inventories of assigned electronic equipment and personnel uniforms, and

    • maintaining and filing records.

  • Assist management with various types of documents including but not limited to:

    • preparing monthly/quarterly reports

    • preparing and facilitating submitting reports for City Council meetings,

  • Maintain a procurement card and serve as a liaison with other departments and external vendors involving but not limited to the following tasks:

    • assisting with purchase orders, monthly billings and other financial payments,

    • updating account expenditures and expense reports for travel, and

    • ordering and keeping track of office supplies, forms, computer hardware/software, services, uniforms, and miscellaneous equipment.

  • Provide exceptional customer service in staffing the office reception desk, answering the telephone and emails, and routing citizen complaints and requests to appropriate City staff. 

OTHER JOB FUNCTIONS:

  • Assists with special projects, event planning, coordination of meetings, and training, as well as travel arrangements and expense reports.

  • Respond to open records requests to ensure they are processed legally and in a timely manner.

MINIMUM QUALIFICATIONS:

Knowledge, Skills and Abilities Required:

  • Knowledge of basic accounting and clerical methods, forms, techniques and terminology.

  • Knowledge of current Microsoft Office software products.

  • Knowledge of office and administrative practices and procedures. 

  • Knowledge of office management, equipment, methods and procedures.

  • Knowledge of purchasing methods and procedures, including procurement cards.

  • Skill in communicating with other City employees and the public by written and verbal means.

  • Skill in processing and verifying routine documents. Skill in making basic mathematical calculations.

  • Skill in typing 40-50 wpm.

  • Skill in using PC Software including current Microsoft Office Suite of applications. 

  • Skill with organization and attention to detail. 

  • Ability to analyze and evaluate programs, policies, procedures, services and facilities in order to develop recommendations for improvements.

  • Ability to exercise discretion and independent judgment utilizing knowledge of the organization's policies. 

  • Ability to learn new systems and procedures quickly. 

  • Ability to operate a variety of office equipment including but not limited to PC, telephone, calculator, scanner, and copier. 

  • Ability to perform a variety of physical skills including but not limited to filing, pulling, seeing, sorting, squatting, standing, stooping, twisting body, typing, walking, and writing. 

  • Ability to plan, organize, monitor, and collaborate with internal and external stakeholders to accomplish unit objectives.

  • Ability to prioritize deadlines and tasks. 

  • Ability to understand mathematical calculations involving fractions, percentages, and decimals.

  • Ability to work at a rapid pace with interruptions.

  • Ability to adjust to fluctuating work levels and work schedules such as required overtime.

  • Ability to work in an indoor environment.

  • Ability to work independently under general instructions. 

  • Ability to work within a set schedule.

Qualifying Education and Experience

  •  High school diploma or GED.
