Exceptional Children Data Manager
Position Summary
The Exceptional Children (EC) Data Manager is responsible for collecting, maintaining, and reporting a wide range of student and program records required for the EC program. Most tasks follow established procedures and manuals; the employee plans the sequence of work accordingly and develops simple procedures for non-complex activities as needed. The role works under limited supervision. Accuracy is critical, as errors can result in loss or compromise of essential student or financial records.
Essential Duties & Responsibilities

Track documentation and timelines for referral, evaluation, placement, and re-evaluation of individual students; notify appropriate personnel of upcoming due dates.

Verify state and federal compliance of individual EC records (IDEA, NC policies).

Obtain and organize required records for transfer students.

Provide guidance to school staff on efficient recordkeeping practices and compliance requirements.

Compile and submit EC data and reports to federal, state, and local agencies.

Prepare data and information for non-routine requests from the State Board of Education, General Assembly, local board, and district leadership.

Support data requests by directing staff and researchers to appropriate information sources.

Maintain inventories/records of EC program property (e.g., computers, software, journals, books, materials).

Identify data needs and compile information for program budgeting; assist the administrator in developing and implementing tracking systems for students exiting the program to support program evaluation.

Maintain confidentiality of student information and ensure data security consistent with FERPA and district policy.
Knowledge, Skills, and Abilities

Working knowledge of data collection and information systems, including computerized databases and spreadsheets.

Ability to learn and interpret laws, regulations, and policies governing EC programs.

Skill in developing recordkeeping and retrieval procedures and maintaining accurate, organized records.

Some knowledge of basic accounting and reconciliation practices.

Strong attention to detail; ability to meet deadlines and communicate clearly with school and district staff.
Suggested Training and Experience

Education beyond high school in office administration, data management, or related field, and one year of experience with database management, spreadsheets, and data collection/reporting; or an equivalent combination of education and experience.
