Schedule: 52 week position (Full-Year)

Hours: 37.5 hours per week, 7:30 am - 3:30 pm

Salary: Hourly rate per AFSCME Contract

What You’ll Do:

Serving as clerk to the Transportation office, the Transportation Clerk represents the “face” of the office. In this role, she/he welcomes and frequently interacts with all students, parents, staff, and others to the office, answering phone calls in a pleasant and timely manner, and responding to questions regarding transportation. The clerk also assists with key responsibilities such as preparing and tracking budgetary requisitions, bus requests, field trips, tracking student bus attendance, important mailings and other communications, maintaining confidential files, and supporting other members of the administrative and secretarial team as needed.

 

Major Duties and Responsibilities:

  • Performs general clerical functions (e.g. scheduling, copying, faxing, data entry, filing, etc.) for the purpose of supporting site operations
  • Promotes positive public relations for the school and district, serves as a receptionist, greeting students, parents, staff, and the public in a friendly and helpful way
  • Serves as receptionist; greets students, parents, staff and the public efficiently and courteously; answers or refers telephone and in-person inquiries; takes messages; promotes positive public relations for the district
  • Is responsive to all inquiries– both in person or on the phone
  • Uses Aspen, Transfinder, Parent Square and shared spreadsheets to answer questions, and troubleshoot issues related to transportation
  • Maintains a variety of spreadsheets and files, such as student bus lists, route sheets, bus requests, field trip requests, orders, emergency procedures, and a wide variety of other files and records as assigned
  • Prepares, processes, and tracks requisitions using MUNIS in coordination with the district’s business office and maintains working knowledge of the school’s budget lines including postage
  • Collaborates with other members of the SPS staff to ensure successful completion of administrative goals and tasks
  • Other duties as assigned

Role Responsibilities:

  • Performs general clerical functions (e.g. scheduling, copying, faxing, data entry, filing, bus passes, etc.) for the purpose of supporting site operations
  • Serves as receptionist; greets students, parents, staff and the public efficiently and courteously; answers or refers telephone and in-person inquiries; takes messages; promotes positive public relations for the district
  • Receives, processes and monitors bus applications from initial receipt through routing completion, inputting information into ASPEN, printing bus passes, and notifying school personnel and families. 
  • Maintains a variety of files and records as assigned, such as riders lists, daily schedules, orders, bus enrollment, confidential special need student files and a wide variety of other files and records as assigned
  • Assists with dispatching and communicates with school bus drivers, monitors, and vendors to get students to and from school safely on a daily basis.
  • Prepares forms, form letters, and other documents as required at acceptable levels of speed and accuracy; collates and photocopies materials as necessary; maintains supply of forms and charts as needed
  • Assists transportation team with planning efforts
  • Develops and implements proactive communications strategies with families and school personnel including the use of district communication platforms and the district website
  • Arranging transportation for field trip requests with vendors
  • Assisting with out of district Mckinney Vento transportation requests
  • Additional duties as assigned

Qualifications:

  • High School diploma or equivalent; Associate's Degree or Higher, Preferred
  • Second language proficiency in Spanish or Portuguese, required
  • Have a minimum of two years of successful experience in a related clerical, logistics or transportation position; School Transportation experience highly desirable
  • Proficiency with Google suite, including, Gmail & Google Sheets; Parent Square, Transfinder; MUNIS, Aspen Student Information System (or ability to learn), and other software
  • Ability to establish and maintain a positive and professional relationship with co-workers, students, parents, staff and visitors; cultural sensitivity and ability to relate well and effectively in diverse workplace and with a diverse client population

Salary: Compensation for Senior Account Clerks in the Salem Public Schools are determined by the American Federation of State, County, and Municipal Employees (AFSCME) collective bargaining agreement.
