ACCOUNTS PAYABLE ANALYST

FLSA Status: Salary Exempt


Employment Type: Full Time

Location:  Remote

 

Reports to: Accounts Payable Manager

 

SUMMARY

The Accounts Payable Analyst will execute and manage accounts payable processes and recommend 

improvements to vendor payment processes and controls where applicable.  The candidate must have an 

understanding of payments processes and their downstream impacts, utilizing systems to upload and 

store invoice information, strong verbal and written communication, and excellent organizational skills.

 

The Accounts Payable Analyst position reports directly to the Accounts Payable Manager and up through the 

Accounting department and will be expected to collaborate on improvement of the upstream and 

downstream accounting & reporting activities related to payments.

 

ESSENTIAL DUTIES & RESPONSIBILITIES

  • Review, verify, and process a high volume of vendor invoices in a timely and accurate manner;
  • Code invoices to the appropriate general ledger (GL) accounts, locations, and departments with  special attention given to prepaids, deposits, accruals, and fixed assets;
  • Route invoices for proper approval;
  • Ensure payments are made accurately, with the review of supporting documentation and approvals;
  • Prepare and process electronic transfers and payments;
  • Work with internal partners and external vendors to ensure payment deadlines are met;
  • Set up new vendors in internal systems, including adding W9 and ACH information when needed;
  • Maintain accurate and up-to-date vendor records;
  • Reconcile discrepancies with vendors and resolve invoice/payment issues;
  • Support month-end closing by ensuring all payables are recorded and coded correctly;
  • Assist with internal and external audits related to accounts payable;
  • Issue form 1099 to vendors per regulatory requirements;
  • Communicate frequently and timely with internal and external stakeholders regarding payment status;
  • Identify opportunities areas in AP processes and work to implement improvements;
  • Escalate issues, risks, or questions to management;
  • Work effectively with General Accounting, Treasury, and Financial Planning & Analysis teams;
  • Support cross-functional teams by answering accounting and financial questions and providing analyses by researching and interpreting data;
  • Sensitivity to the impacts of Accounts Payable processes on other areas of the business;
  • Communicate with co-workers, management, clients, and others in a courteous and professional manner;
  • Conform with and abide by all regulations, policies, work procedures and instructions;
  • Develop SOPs of routine work duties;
  • Other duties as requested by management.

 

SUPERVISORY RESPONSIBILITIES

The Accounts Payable Analyst role has no direct supervisory responsibilities.

Travel

This is a remote role, however there will be quarterly team meetings in the Philadelphia location.

 

PREFERRED EDUCATION & EXPERIENCE

The ideal candidate will have a demonstrated track record in business accounting with the following background and experience:

  • B.S. in Business Administration, Accounting, Finance or similar field of study.
  • Experience in Accounts Payable roles.
  • Proficient in Excel functions such as filtering, pivot tables, creating charts, lookup formulas.
  • Proficient in Powerpoint and professional presentation creation, including visuals to clearly communicate information, and well organized delivery of points to colleagues.
  • Possess technical knowledge related to basic payments subjects.
  • Excellent organizational, problem solving, critical/analytical thinking, written and oral communication, interpersonal and computer skills.
  • Understanding and proper application of accounting principles relating to the Accounts Payable function.


COMPETENCIES

  • Thoroughness/Attention to detail.
  • Strong understanding of process management, approval management, and AP control framework is required.
  • Excellent interpersonal and communication skills (both oral and written) including the ability to communicate with colleagues at varying levels of company hierarchy, and at varying levels of proficiency with accounting concepts. Strong focus on customer service.
  • Strong team player, able to share information and coordinate processes with other departments. 

 

COMPUTER SKILLS

To perform this job successfully, an individual must have proficiency in Microsoft Excel, Word, Powerpoint. Experience with payments systems is highly preferred. Experience with Netsuite is a plus.
