About the Department
Performs clerical file work for the Records Division of the Sheriff’s Office.
Position Duties
- Obtains jail files and loose papers of released inmates from Intake.
- Reviews files for accuracy and completeness, ensuring all paperwork belongs to the file.
- Brings all discrepancies to the attention of the Criminal Justice Records Clerk or supervisor, so it can be corrected.
- Takes original copies of bonds and affidavits back to intake to be send to the court.
- Organizes all files and loose papers alphabetically. Marks next to name on printed list of inmates from the last 24 hours to identify receipt of the file.
- Organizes and removes all staples for scanning. Ensures all pages are legible. Makes a copy to darken if necessary. Tapes any tears. Organizes documents in file on correct side of file.
- Organizes loose papers and puts into appropriate file. Sets aside if file is not found. Files jail files in the seven-day filing system.
- Pulls last weeks, current days’ files from seven-day filing system. Scans files. Reviews scanned copy for clarity and completeness ensuring each page in the file was scanned. Name the scanned document and save in folder.
- Imports each file in the Spillman computer system under the booking. Place scanned file on shelf for validation.
- Validates scanned files in Records Management System (RMS) under booking. Obtain scanned file and look up booking. Validates file is in the booking.
- Performs other duties as appropriate or necessary for performance of the job.
Minimum Qualifications
Candidates must be current high school students enrolled in the work study program.
The selection process includes, but is not limited to, a panel interview. Candidates must pass a background check. The expected duration of the selection process will not normally exceed two months. Candidates not selected may reapply in the future. This posting may be used to fill multiple openings. Although the entire pay range is posted, this position starts at the minimum of $15.96 per hour.
