About the Department

Position Duties
- Performs customer service and reception duties for the department; provides general information as well as responds to specific customer questions requiring additional research; routes inquires appropriately and takes messages.
- Ensures department records and reports are properly maintained; processes operating records and data, maintains accounts, records and statistical data; including compiling data for summaries and reports.
- Maintains office filing systems, files and records; assemble information upon request.
- Receives, sorts, distributes and processes incoming or outgoing mail.
- Scans and enters various information into databases.
- Coordinates schedules and makes arrangements for training, meetings, events, tests and/or similar activities.
- Orders, maintains and distributes office supplies and/or equipment.
- Prepares standardized and original documents and forms; composes original letters and written responses upon request.
- Processes purchase orders, invoices, vouchers, purchasing cards, fuel cards, personnel requisitions and maintenance requests.
- Processes the accounts payable and accounts receivable functions for the department; maintains detailed records of all receivables and expenditures.
- Prepares information including binding, stapling and copying; distributes packets to appropriate persons including mass mailings.
- Prepares and distributes meeting agendas and related materials; takes, tapes, transcribes and distributes meeting minutes.
- Processes and reviews employee timesheets and payroll information; enters payroll data; coordinates with Finance and/or Human Resources, employees and supervisors to resolve any issues; prepares and processes other personnel forms.
- Compiles information for and assists with yearly budget development; maintains and monitors current budget; makes daily and/or weekly deposits.
- Performs other duties as appropriate or necessary for performance of the job.
Minimum Qualifications
- High School Diploma or GED equivalency required.
- Minimum of six years of clerical experience required.
- Associate’s degree from an accredited college or university in the field of Business Management, Office Administration, or Human Resource Management preferred.
- Notary Public Certificate preferred.
- Must successfully pass background check.
