Role Summary

The Case Manager (Paralegal/Legal Assistant) provides direct legal and administrative support

to attorneys and intake agents in compliance with federal, state (Oklahoma), and local laws, as well as professional standards of practice. This role primarily supports the Motor Vehicle Accident (MVA) and Personal Injury (PI) cases, ensuring accurate case progression, documentation, and client communication. In addition, this role supports the Audit Team by assisting with call compliance reviews and the Intake Team by monitoring and enhancing the quality of leads, ensuring that Quintessa continues to provide attorneys with clients who are properly qualified and represented with

integrity.

Key Responsibilities

Case Management (MVA & PI)

• Open, organize, and maintain case files in compliance with the Oklahoma Rules of

Professional Conduct and firm policies.

• Track medical treatment, demand package preparation, settlement negotiations, and

court-related deadlines.

Legal Support

• Draft, proofread, and prepare legal correspondence, pleadings, demand letters, contracts,

and motions for attorney review.

• Conduct factual and legal research using OSCN (Oklahoma State Courts Network), Westlaw, and LexisNexis.

• File documents using Oklahoma e-Filing systems and federal CM/ECF systems when

required.

Client Interaction

• Serve as the primary point of contact for PI/MVA clients, ensuring professionalism,

empathy, and confidentiality.

• Communicate case updates, treatment milestones, and required documentation in

compliance with ABA Model Rules.

• Schedule and coordinate client meetings, depositions, mediations, and medical

examinations.

Audit & Intake Support

• Assist the Audit Team by reviewing intake calls for compliance, accuracy, and

professionalism.

• Provide feedback to intake agents to ensure calls align with compliance standards and

company expectations.

• Support the Intake Team by monitoring the quality of leads, identifying trends, and

helping refine qualification standards.

• Collaborate with leadership to ensure that client acquisition meets both legal and business

standards.

Administrative & Compliance

• Maintain HIPAA compliance when handling medical and personal records.

• Follow Oklahoma Discovery Code, Uniform Jury Instructions, and applicable court rules.

• Ensure adherence to company policies regarding confidentiality, data security, and

professional conduct.• Maintain accurate records, case logs, and compliance documentation.

Key Qualifications & Skills

Education & Experience

• Associate’s degree in Paralegal Studies, Legal Studies, or related field required;

Bachelor’s degree preferred.

• Paralegal certification (NALA, NFPA, or OBA-approved program) strongly preferred.

• Minimum of 2 years of legal services experience with a focus on personal injury and

motor vehicle accident cases.

Skills & Competencies

• Strong understanding of PI/MVA case management, including medical record review and

demand preparation.

• Knowledge of the Oklahoma court system, federal procedures, and legal terminology.

• Proficiency with Microsoft Office Suite, Adobe Acrobat, case management software, and

e-Filing systems.

• Ability to evaluate call compliance and intake lead quality.

• Excellent written and verbal communication skills, with strong attention to detail.

• High ethical standards and ability to maintain confidentiality.

Base Salary: Competitive, commensurate with experience (available upon request)
