Hiring Range:  $63,338 - $72,155
Hours: 8:00-5:00

Position devoted to providing clerical and/or office support activities for city functions and staff. Incumbents assigned to this class perform complex and advanced administrative support for the City’s top executives; perform paraprofessional management analysis work; or supervise an administrative support unit of non-exempt employees. Decision-making involves the coordination of transactions and processes at the highest level of standard operating tasks, including providing direction to lower-level staff in the execution of operational tasks and review and verification of work.

An incumbent is responsible for budget coordination; basic analysis; logistical support for politically sensitive and high-visibility programs; basic research, compiling data and formulating preliminary recommendations; creating reports; coordinating workflow; and developing, proposing and implementing operational policies and procedures. Work involves outreach and collaboration with all levels of the organization as well as outside agencies, citizens and elected officials.

Position Duties

  • Interpret and apply applicable operating procedures and standards based on assignments for Finance.

  • Utilize communication and interpersonal skills to interact with coworkers, supervisors, the public and others to sufficiently exchange or convey information and receive work directions.

  •  Maintain confidential information.

  •  Responsible for front desk operations to include distributing mail, welcoming and assisting visitors and other daily routine tasks.

  • Coordinate Finance Director’s calendar and/or facility calendars and schedule internal/external events and meetings.

  • Access and use relevant software to enter and monitor accounts payable invoices and perform monthly vendor reconciliations

  • Responsible for entering personnel leave and actions in the ERP System for employees.

  • Assist the Payroll Division with third party payments and reconciliations and other payroll related administrative tasks.
     

Minimum Qualifications

  • Associate’s degree, or equivalent, in business or related field.
  • Three (3) years of advanced administrative support experience.
  • Notary Public, or be willing and able to get your Notary Public within six months of start date

Other Qualifications

  • Experience and skills using Microsoft Office applications, especially Excel and Word
  • Skills and experience with event coordination
  • Payroll or Accounts Payable experience
