POSITION: Administrative Assistant
REPORTS TO: Administrative Coordinator
SCHEDULE: 24 hours/week, 48 weeks/year
SALARY: As per agency salary schedule FLSA: Non-Exempt
HYBRID WORK: Eligible
JOB SUMMARY: The person in this position is responsible for administrative and personnel support for the CACFP program.
ESSENTIAL DUTIES:
- Responsible for CACFP program compliance.
- Conduct site reviews at all head start locations.
- Ensure follow up is met at each site based on review data.
- Provide individual mentoring to cooks that need support.
- Performs new cook training beyond orientation day while completing orientation checklist with new hires.
- Leads annual CACFP required trainings.
- Assists with food production records when not training or conducting reviews.
- Engages in assessment and evaluation of the CACFP program including: planning and implementation of policies, procedures, the program’s self-assessment and goals.
- Attends annual CACFP training in Des Moines.
- Demonstrates team building skills that contribute to a positive climate
- Complies and enforces policies and procedures.
OTHER DUTIES AND RESPONSIBILITIES:
- Access, input and retrieve information from computer.
- File and organize Head Start information.
- Inventory supplies and equipment.
- Familiarity with computer knowledge and skills in computer operations.
- Attend meetings and trainings as required.
- Viable means of transportation, and evidence of insurance, valid Iowa driver’s license and acceptable driving record.
- Other duties as assigned.
KNOWLEDGE, SKILLS AND ABILITIES:
- Minimum of 2 years college-level business / office management classes; prefer minimum AA/AS in Office Administration Education or equivalent.
- Prefer previous health experience
- Familiarity with computer knowledge and skills in operations (Microsoft Office, Excel, Child Plus).
- Knowledge of HS Performance Standards, and state licensing requirements.
- Successful completion and renewal certification in First Aid, Infant and Child CPR and Mandatory Abuse Reporter Training.
- Excellent verbal and written communication skills; excellent organizational abilities and ability to multi-task.
- Good written and verbal communication skills.
- Ability to work as an effective team member.
- Knowledge of community resources.
- High level of interpersonal skills to handle sensitive and confidential situations.
- Ability to work independently as well as within team setting.
- Willingness to travel with viable means of transportation, evidence of insurance, valid Iowa driver’s license and acceptable driving record.
- Ability to perform medium heavy physical work, exerting up to 50 pounds of force on occasion, up to 20 pounds frequently, and up to 5-10 pounds constantly, performing such activities as kneeling, crouching, reaching, standing, walking, pushing, pulling, lifting and grasping, along with repetitive motion duties.
