Schedule: This position will require you to be in the office 100% of the time, with normal operating hours for the role being 8:30 AM – 5:00 PM, Monday – Friday each week, with a 30-minute daily lunch break. This position is 35 hours a week, with full-time benefits.

Pay Rate: $20-$23/hour

Location: 5600 N River Road, Rosemont, IL 60018

Position Summary:

This role will support the Office Services team, reporting to the Office Manager. The Office Coordinator will be a vital team member in supporting our corporate office, helping the team ensure efficient office operations, and fostering an environment and service level that supports the office and our associates.

Essential Job Functions:

  • Receive and sign for all incoming mail and deliveries, including USPS, FedEx, UPS, and other carriers.
  • Enter outgoing packages into the FedEx and UPS systems; manage outgoing messages and shipments.
  • Assist associates with all inbound and outbound shipping needs, including packing of shipments, providing quotes, and offering guidance on arrival times or international shipping requirements.
  • Sort and deliver mail and packages to appropriate departments or associates.
  • Monitor and maintain inventory of supplies for shipping, office, and kitchen areas; order and restock as needed.
  • Coordinate office lunches and transportation requests as needed.
  • Provide support and assistance to all associates in moving boxes, furniture, displays, and other items.
  • Perform miscellaneous duties as assigned to support office operations.

Minimum Requirements:

  • High school diploma required; some college experience a plus
  • Prior experience working in a mailroom or receiving, and/or as an office porter, is required
  • Ability to climb, kneel, or stoop regularly to perform duties
  • Ability to regularly lift and move up to 50 pounds

Skills, Knowledge, and Abilities:

  • Job Knowledge/Technology: Ability to use a computer and other office and mailroom machines, along with a working knowledge of Microsoft Office Suite.
  • Initiative: Plan work and perform tasks without detailed instructions; respond to situations as they arise with minimal supervision, and create solutions to problems.
  • Communication: Write and speak effectively; ask questions to ensure understanding; exercise a professional approach with others.
  • Organization: Ability to determine urgency in order to manage multiple projects in a practical way. Manage transition from task to task effectively.
  • Collaboration and Teamwork: Work efficiently with others to get the job done, respond positively to instructions and procedures, and work well with staff.
