About the Position:
The Facility Coordinator provides administrative support to his/her supervisor and is responsible for providing vendor payment requests to his/her supervisor
This position will manage SMU internal room reservations of the Cox Business School Buildings, tend to the main reception desk of the Collins Executive Education Center, answer the phone, assists guests to SMU Cox, help the graduate students with their study rooms reservations, and provide a seamless customer service experience to our clients.
The Facility Coordinator manages emails sent to "Rooms@Cox," submits work orders related to building maintenance and furniture move for on-site events. He/She will train the Student Assistant(s) on the daily tasks of their shifts.
Essential Functions:
- Attend to the main reception desk of the Collins Executive Education Center.
- Process space reservation requests for the Cox School of Business Buildings
- Train/oversee student employee scheduling.
Answer the main phone-line of the reception desk.
Provide courteous and conscientious quality service to our clients, guests, and visitors.
Submit facility work orders daily.
Prepare/process vendor payment requests for his/her supervisor.
- Instruct student employees to make daily signs for classrooms and print weekly reports of events scheduled in the buildings. He/she will provide copies of the report to the custodian team.
Daily walks through the Collins Center looking for facility issues such as bulbs needing to be replaced, minor repairs needed, and confirming the custodial team is fulfilling it's contractual duties.
Education and Experience:
High school diploma is required. Bachelor's degree preferred.
A minimum of 5 years of experience is required. Customer service and administrative support experience is required. Experience in the hospitality industry is preferred.
Knowledge, Skills and Abilities:
Candidate must demonstrate strong interpersonal and verbal communication skills, with the ability to communicate broadly across the University and develop and maintain effective relationships with a wide range of constituencies. Must also demonstrate strong written communication skills.
Candidate must possess strong problem-solving skills with the ability to identify and analyze problems, as well as devise solutions. Must also have strong organizational, planning and time management skills.
Technology proficiency with technology is an asset. The candidate must be familiar with Microsoft Office and Excel.
Candidate must be willing to occasionally work after hours and/or weekends when large events are scheduled in the building and/or coverage is needed.
