POSITION: Office Clerk


DIVISION: Public Works Division


LOCATION: Red Cliff Reservation


WAGE: $17.00-$20.00 DOQ,  plus benefits


SUPERVISOR: Public Works Administrator, Public Works Assistant, Department Directors/Supervisors


THIS IS A REGULAR FULL-TIME NON-EXEMPT POSITION


JOB SUMMARY: The position will provide office support to all Departments and Programs within the Public Works Division. The Public Works Division includes Facilities Management, Water & Sewer Department, Roads Department, Transportation Department and Transfer Station. The position will also aid with the various commissions and committees within the Division. 

Position Duties

DUTIES AND RESPONSIBILITIES:

  1. Answer phones, screen phone calls, take messages and provide information to callers.
  2. Greet visitors and direct them to the appropriate person or department within the Division.
  3. Sorting, distributing, and managing incoming and outgoing mail. 
  4. Maintain knowledge and work with billing system, including meter reading, entering readings into system, applying customer payments and maintaining the billing system for the Water & Sewer Department.
  5. Assist with the collections process of late/past due bills for the Water & Sewer Department.
  6. Invoice Tribal programs and outside entities for services provided by the Division. 
  7. Maintaining records, organizing files and general office support to ensure the smooth functioning of the offices.
  8. Assist with scheduling meetings, maintaining schedules, travel planning and training opportunities.
  9. Offer support to all Directors/Supervisors within the Division.
  10. Assist with coordinating events, activities, community outreach and other special events, including set-up and clean-up of events that occur on all properties that Public Works maintain. 
  11. Maintain and organize shared drive files.
  12. Assist with Procurement activities as deemed necessary.
  13. Assist with eCivis reporting, including uploading documents, organizing files and assisting with compliance reports.
  14. Assist with preparation and submission of reports as needed.
  15. The above duties and responsibilities are not an all-inclusive list but rather a general representation of the duties and responsibilities associated with this position.  The duties and responsibilities will be subject to change based on organizational needs and/or deemed necessary by the Administrator.


SUPERVISORY AUTHORITY: NONE

Minimum Qualifications

KNOWLEDGE: Knowledge of office procedures. Knowledge and proficient with computer software, especially Excel, Word and Adobe. 


QUALIFICATIONS:

  1. Minimum high school diploma, HSED, or GED required.
  2. Must be at least 18 years of age, required.
  3. One year’s office support/reception experience preferred.
  4. Basic knowledge of accounting principles and practices is preferred.
  5. Excellent organizational skills and planning skills.
  6. Must be dependable and self-motivated.
  7. Must have a valid driver’s license, vehicle, and appropriate vehicle coverage and maintain driver’s eligibility as a condition of employment. Be eligible to be put on the tribe’s vehicle insurance policy.

Other Qualifications

PERSONAL CONTACTS: Daily contact with Directors and Supervisors, other staff, other agencies and the public. 


PHYSICAL REQUIREMENTS: The duties assigned to this position involve bending, stooping, lifting, and carrying. Items may be placed in overhead storage or shelving. Must be able to lift at least 20 pounds.


WORK ENVIRONMENT: All Tribal Buildings are smoke free.


TRAVEL REQUIREMENTS: The ability to travel and attend meetings and trainings; overnight and out of town, both locally & nationally.
