Join the NVFS Family: We are looking to hire an Assistant Director to join our Workplace Solutions team! As the Assistant Director of Workplace Solutions, you will be responsible for ensuring a safe, reliable, effective and trauma-informed workplace experience across all NVFS sites. In this role, you will serve as the bridge between facilities operations and the broader agency, working to understand opportunities and challenges facing programs and staff and incorporating them into areas of focus for the Workplace Solutions team.

This has a starting salary of 100k-105k.

In this role, you will be responsible for

Workplace & Facility Operational Oversight

  • Direct workplace operations and facility management across NVFS sites, ensuring timely responses, clear communication, and prioritized resolution of service requests.
  • Maintain a strong safety and security posture through access control, alarm monitoring, emergency preparedness, and staff training.
  • Oversee space planning, office relocations, and on-site work performed by handymen, volunteers, and vendors across the agency’s footprint.
  • Implement a regular physical inspection cadence for all NVFS sites.
  • Align with the Capital Improvement Plan to maintain a robust preventive maintenance and renovation program, ensuring NVFS-owned facilities and vehicles are well maintained and support a trauma-informed environment.
  • Maintain accurate, accessible records of leases, floor plans, incidents/claims, vendor contracts, inspections, permits, and equipment/vehicle warranties.
  • Administer WPS digital tools and repositories (e.g. intranet, shared files, and cloud platforms) to support operations and reporting.
  • Promote financial accountability through oversight of budgets, approvals, and cost control.

Vendor, Volunteer & Contract Management

  • Establish strong procurement and vendor management practices, including sourcing, onboarding, bidding, and performance management.
  • Maintain a comprehensive list of preferred vendors with after-hours points of contact for quick mobilization as needed.
  • Collaborate with the Development and Volunteer teams to engage both skilled and general volunteers in advancing WPS and agency goals.

Affordable Rental Units (ARU) & Property Management

  • Oversee the full life cycle of ARU residents, including application, recertification, onboarding, resident services and turnover through managers and supervisors.
  • Drive best practices and standardization across leases, supporting documentation, and NVFS policies.
  • Ensure regular property inspections to verify maintenance and compliance with NVFS standards.
  • Foster strong relationships with HOAs, Prince William County, and residents to ensure consistency across the NVFS ARU portfolio.

Project Management & Process Improvements

  • Lead cross-functional WPS projects from scoping through warranty, including capital renovations, technology integration, space planning, and move-ins and relocations.
  • Identify and implement process improvements to strengthen efficiency, service levels, safety, and staff and client satisfaction.
  • Assist in maintaining the Capital Improvement Plan to ensure a comprehensive, five-year planning horizon with increasingly accurate cost and LOE estimates.
  • Develop project budgets, schedules, and success criteria; monitor execution and report progress to senior leadership.

Staff Supervision and Development

  • Identify and fulfill staffing needs; work collaboratively with each staff member on talent development process to set job and development goals; approve timesheets, leave and reimbursement requests; provide ongoing staff orientation and training to enable staff to deliver service effectively.
  • Conduct regular and timely supervision according to established program guidelines.
  • Cultivate a team that supports the NVFS mission based on innovation, collaboration, accountability and continuous improvement.
  • Foster a positive and inclusive work environment.
  • Provide constructive feedback and support staff in achieving team objectives.

    Other

    • Participate in regular supervision with supervisor and provide regular updates.
    • Remain current on knowledge of standards and other program-related information.
    • Enter data for record keeping and reporting to meet relevant guidelines.

    Your Background:  We understand that you may obtain skills through a variety of professional, personal, educational, and volunteer experiences.

    • Bachelor’s degree in business, facilities management, project management, or related field preferred
    • At least four (4) years of progressive experience in workplace/facility management, operations, or related field, with demonstrated success in managing multi-site operations
    • Demonstrated people management experience with strong interpersonal and relationship-building skills
    • Proven track record leading capital projects or renovations (e.g., $250K+), from scoping and vendor selection through execution and close-out
    • Experience negotiating and managing vendor contracts across construction, maintenance, telecom, and related services
    • Awareness of how building codes, fire-safety, ADA requirements, OSHA standards, and compliance frameworks relevant to workplace safety and facility management affect the Agency’s posture
    • Strong organizational, analytical, and problem-solving skills with proven ability to manage competing priorities
    • Strong project management skills, including development of budgets, schedules, KPIs, and reporting
    • Financial acumen, including budget development, cost control, and variance analysis
    • Excellent communication and interpersonal skills with ability to collaborate across teams, stakeholders, and external partners
