The Stamford CARES Program Assistant is responsible for the day-to-day administrative support to Stamford CARES, providing data and clerical support to the Stamford CARES staff.
Supervision: Reports to Stamford CARES Director
Duties and Responsibilities:
- Input data into the CareWare system specific to Ryan White services and reporting requirements.
- Assist the Program Director with completing and submitting reports on time.
- Collaborate with the MCM Team to collect and track data monthly.
- Ensure MCM staff have needed forms, materials, and updated documents.
- Scan, file, and upload client records to electronic systems.
- Provide general office support and technical assistance, including managing supplies and upkeep of client files.
- Answer phones and respond to emails or inquiries professionally.
- Assist with planning workshops, events, and training.
- Ensure smooth mail flow between Family Centers service sites; sort and distribute incoming mail and packages.
- Organize storage areas, supply closets, and shared common spaces.
- Prepare and distribute agendas, minutes, and meeting materials.
- Maintain confidentiality and adhere to HIPAA protocols.
- Meet with the Director as needed and perform other tasks as assigned.

Qualifications:
· Associate’s degree desired but not required
· Experience in data entry and compiling reports
· Knowledge of MS Word, Excel, and PowerPoint and managing electronic medical records
· Able to serve as a positive representative of Stamford CARES
· Sensitive to culture, race, sexual orientation, age, gender, and other diverse factors
· Hardworking and dependable
· Trustworthy and able to uphold strict confidentiality policies
· Must have own vehicle
· Bilingual
