JOB SUMMARY:

The Procurement Specialist is responsible for supporting the Purchasing Manager with administrative and paperwork functions while also assisting with various aspects of the procurement process. This role involves preparing and processing purchase orders, maintaining accurate records, coordinating with vendors, and helping with supplier evaluations. In addition, the Procurement Specialist supports activities such as researching pricing, tracking deliveries, and resolving discrepancies to ensure procurement operations are accurate, efficient, and align with company goals.

ESSENTIAL JOB FUNCTIONS:

  • Assists Purchasing Manager with daily procurement activities and special projects.
  • Prepares, processes, and tracks purchase orders, invoices, and related documentation. Ensures that purchasing documents are complete, accurate, and include appropriate and reasonable terms and conditions.
  • Ensures timely delivery of materials and services.
  • Researches and communicates with vendors to obtain quotes, clarify details, and confirm deliveries.
  • Works with vendors to negotiate volume and cash transaction discounts, and other available discounts.
  • Maintains accurate procurement records and updates JobBoss system with current supplier, part, and order data, supplier quotes, and delivery schedules.
  • Monitors order status, resolves discrepancies, and escalates issues to the Purchasing Manager as needed.
  • Supports inventory control by tracking stock levels and alerting the team to potential shortages.
  • Participates in supplier evaluations and contributes to vendor relationship management.
  • Analyze basic purchasing data to identify potential cost savings or process improvements.
  • Ensure procurement activities and documentation comply with company policies and standards.


Requirements


  • Associate’s or Bachelor’s degree in Business Administration, Supply Chain, or related field (or equivalent experience) preferred.
  • 2+ years of experience in procurement, purchasing or administrative support.
  • Strong organization skills and attention to detail, with the ability to handle multiple tasks.
  • Proficiency in Microsoft Office Suite; experience with ERP or procurement software preferred.
  • Effective communication and interpersonal skills for working with internal teams and external suppliers.
  • Ability to work independently while supporting broader departmental goals.
  • Experience in a manufacturing or customized job-shop environment.
  • Familiarity with procurement best practices and vendor negotiation.
  • Must pass a post-employment offer drug screen, physical, and background check.
