Job Summary
UCSF is seeking an experienced Administrative Officer 4 to manage and coordinate advanced administrative operations for a highly complex, multi-disciplinary department. This role involves strategic planning, financial management, HR, and operational oversight. The successful candidate will work closely with leadership and collaborate with various teams to ensure smooth department operations and support organizational goals.
The Pediatric Access Center at UCSF includes a dedicated team of 35 professionals, including Pediatric Access Center Nurses, BCH Nursing Supervisors, and Mission Bay Staffers. This team facilitates critical services, including patient movement coordination, staffing, and placement across various UCSF locations. Collaboration with physicians, nursing units, case management, and other teams is integral to ensuring exceptional patient flow and care.
Key Responsibilities:
Manage, plan, and oversee the full range of administrative operations, including budget management, financial analysis, HR processes, and space planning.
Develop and prepare complex budgets with multiple funding sources, including grants and endowments.
Supervise a team of administrative and professional staff, ensuring effective performance and operations.
Collaborate with leadership on short- and long-term strategic planning for the department.
Act as a resource for pre- and post-award grants and contracts, ensuring compliance with university policies and regulations.
Represent the department in meetings, committees, and external collaborations.
Apply advanced problem-solving and analysis techniques to determine future resource allocation and process improvements.
Oversee a broad range of administrative programs, including but not limited to training, compliance, reporting, and facility operations.
Manage department-specific projects, ensuring timelines, deliverables, and objectives align with strategic goals.
Support onboarding and offboarding of staff, including credentialing and new hire orientation.
Coordinate staff training programs and maintain compliance with UCSF policies.
Develop and implement processes for staff safety, equipment maintenance, and workspace management.
Collaborate with external vendors and service providers to ensure operational efficiency.

For roles covered by a bargaining unit agreement, there will be specific rules about where a new hire would be placed on the range.
