About the Department


There are 2 vacancies open at 25 hours per week each. These are the regular schedules but the candidates must be flexible for trainings outside the regular schedule:

Position one:
Mon 1pm-5pm, Wed-Friday 9am-5pm

Position two:
Mon-Friday 9am-2pm

Candidate must reside in Ocean, Monmouth, Burlington or Atlantic counties. 

 Under supervision, performs routine, repetitive clerical work involving the processing of documents in a variety of functions; does other related duties as required within a structured work setting. Duties are performed using well-established operating procedures. Incumbents work under supervision and clearly defined guidelines. The exercise of independent judgment is limited due to the nature of work. 

This position also serves as backup for the Administration front desk to cover lunches, breaks and/ or when out of office.

Position Duties

  • Assists with scheduling staff training programs in reservation software (e.g., Communico) and communicates room setup requirements to branch staff.
  • Creates and manages online registration and evaluation forms (e.g., Microsoft Forms).
  • Proofreads training handouts, slides, and other materials for accuracy.
  • Prepares photocopies and assembles handout packets for distribution.
  • Sends reminders and follow-up communications to registered participants.
  • Records attendance and enters completed training hours into NeoGov or other tracking systems.
  • Creates training spaces both in person and via Microsoft Teams or Zoom.
  • Assists during training sessions by distributing handouts, advancing presentation slides, recording notes on flip charts or similar tools, and providing general clerical support as directed.
  • Assists with document retention, including shredding confidential materials.
  • Receives, reviews, and verifies documents; refers problems to a lead worker or supervisor for resolution.
  • Compiles information and/or numerical data as directed.
  • Provides general, routine information in person and over the telephone; refers complicated or non-routine inquiries to appropriate staff.
  • Operates various types of office machines and equipment (photocopiers, fax machines, printers, labeling machines, etc.) and performs simple maintenance such as adding paper or toner.
  • Performs other routine clerical tasks as assigned, such as sorting and distributing mail, maintaining filing systems, and stocking office supplies.
  • Will be required to learn to utilize various types of electronic and/or manual recording and information systems used by the agency, office, or related units.
  • Prepares purchase orders and/ or invoices within required timelines.
  • Serves as backup for receptionist to cover lunches, breaks and/ or when out of office

Minimum Qualifications

  • Knowledge of office routines, equipment, and practices after a period of training.
  • Knowledge of Microsoft software products (Word, Excel, PowerPoint) or the ability to learn. 
  • Ability to comprehend established office routines and department regulations.
  • Ability to organize assigned clerical work and develop effective work methods.
  • Ability to understand, remember, and carry out oral and written directions.
  • Ability to perform tasks accurately within prescribed time frames.
  • Ability to work effectively with staff and vendors concerned with the work of the department.
  • Ability to sort, index, file, and pull varied types of materials using an established filing system.
  • Ability to set up training rooms (including moving chairs and tables, lifting boxes of training materials, etc.) 
  • Ability to operate and perform routine maintenance on office machines and other equipment.
  • Ability to utilize various types of electronic and/or manual recording and information systems used by the agency, office, or related units after a period of training.
  • Ability to read, write, speak, understand, and communicate in English sufficiently to perform duties of this position. American Sign Language or Braille may also be considered as acceptable forms of communication.

LICENSE:
 Appointees will be required to possess a driver’s license valid in New Jersey only if the operation of a vehicle, rather than employee mobility, is necessary to perform essential duties of the position.
