What you’ll do & Who you are
As Executive Assistant, Kleinanzeigen (d/f/m), you’ll be a trusted partner to the CEO and a key operations support for the Management Team and Chief of Staff.
We’re looking for a proactive and organized person who thrives in ambiguity and drives clarity and impact across the leadership team. This is a high-trust, high-impact role that blends calendar and workflow management with strategic coordination and operational follow-through.
What You’ll Do:
CEO & Leadership Support
Act as the right hand to the CEO — managing priorities, anticipating needs, and ensuring effective time allocation aligned with business goals
Support the Management Team and Chief of Staff with scheduling, agenda setting, and coordination
Serve as a reliable gatekeeper — resolving scheduling conflicts and ensuring smooth day-to-day flow
Calendar & Meeting Operations
Own and manage calendars for the CEO and Management Team
Plan and coordinate executive meetings, workshops, and events
Prepare agendas, document decisions, and follow up on action items
Support annual planning of internal cadences, governance meetings, and company events
Travel & Logistics
Coordinate travel arrangements (flights, accommodation, itineraries)
Prepare travel documentation and expense reports
Support logistics for offsites and executive events
Internal Collaboration & Admin
Liaise with internal teams (HR, IT, Finance) to ensure executive support
Assist with onboarding of new executives and hosting of visitors or partners
Provide operational support to the Chief of Staff across internal comms, office culture, and workplace management
Contribute ideas to improve leadership workflows and executive enablement
Who you are:
5–8 years of experience supporting C-level executives, ideally in tech or high-growth environments
Proactive, self-driven, and comfortable navigating dynamic and fast-paced settings
Excellent organizational, communication, and problem-solving skills
High discretion, emotional intelligence, and professionalism — you know when to listen, when to challenge, and when to act
Fluent in English; German is a strong plus
Strong proficiency in Google Workspace and experience with modern collaboration & productivity tools (incl. AI usage)
Bonus: experience in project management and/or event organization
