Responsibilities:

The Office Manager coordinates and manages all activities related to the running of the office and is part of a greater team that is responsible for the areas of payroll, employee benefits, accounts payable, accounts receivable, vendor and facility contracts. The Office Manager ensures the smooth day to day operations of the office staff including, Conference Room meeting schedule, and equipment management. Oversees maintenance of personnel files and volunteer files.

Qualifications


  1. College experience or related life experience.
  2. At least two years experience in administrative office functions
  3. Excellent communication skills both written and oral
  4. Desire to become an active member of the senior management team
  5. Knowledge of Word, Excel, PowerPoint, preferred


Functions:

  1. Participate in overall agency planning
  2. Receive all invoices, checks for accuracy, distribute them to appropriate person to approve, and send invoices to corporate office.
  3. Supervises building and evacuation plan
  4. Participate as a member of the orientation team with regard to office procedures and payroll policies and oversees new employee orientation
  5. Maintain all vendor/outside services and inpatient contracts.
  6. Oversee development, implementation and administration of all computer software and hardware systems in conjunction with IT department
  7. Meet with non-patient care vendors to implement cost savings.
  8. Corporate Conference: minutes of meetings, teleconference and meeting set-ups
  9. Perform specific assignments as directed by the President, CEO, or Vice President
  10. Maintain inventory of all office supplies, forms, kitchen, conference room and common areas, order supplies as needed
  11. Daily processing and preparation of outgoing mail and distribution of incoming mail and packages
  12. Acts as a liaison with building and maintenance services
  13. Distributes petty cash as needed
  14. Perform background checks
  15. Distribution of incoming mail and packages
  16. Other duties as assigned
