The Administrative Assistant reports to the Associate Director,
Office of the Senior Vice President for University Advancement, and is
responsible for providing administrative and secretarial support to the Senior Vice
President and his Office. The Administrative Assistant interacts daily with the
highest level external and internal constituents of University Advancement,
including the President’s Office, the Board of Trustees, and principal donors,
to provide seamless, high-end customer service.
Primary responsibilities include:
- Developing and employing efficient work procedures to ensure a smooth office operation, such as screening of incoming telephone calls and e-mails
- Assisting with scheduling appointments and meetings
- Preparing correspondence, administrative memoranda and reports
- Maintaining an effective electronic and paper filing system and other organizational systems as required
- Coordinating with stewardship, research, and prospect managers for briefing materials and arranging travel for both the Sr. Vice President and the President to include detailed itineraries
- Assisting with projects, including entering and maintaining donor and prospect data into development databases, and proofreading documents prepared for the Sr. Vice President’s signature.
Also involves extensive independent contact with volunteers,
donors, University officers, administrators, and trustees, as well as their
assistants, to arrange meetings and solicitation calls on behalf of the Senior Vice
President and the President. Performs related duties as required.
Full-Time Equivalent Hiring Range: $52,500 to $65,650; salary
commensurate with relevant experience.
Requirements
This position requires 3-5 years of increasingly responsible administrative experience in a professional setting, strong interpersonal and organizational skills with attention to detail and accuracy, as well as excellent oral and written communications skills, including effective phone communication skills. The candidate must possess solid knowledge of grammar and punctuation.
Additionally, accurate typing skills, a working knowledge of Google Suite and Windows PC, including Microsoft Office, and familiarity with Customer Relationship Management databases, exceptional proofreading, a strong attention to detail, a commitment to accuracy, familiarity with Zoom Workplace, and adept at handling multiple tasks and working well within deadlines.
Also requires good judgment, discretion in handling confidential materials, ability to work independently without close supervision, and flexibility to work beyond the regular hours of the workday when necessary.
Candidates should be highly motivated to work in a fast-paced environment that will require some night and evening work. Must be a team player who is highly motivated and dedicated to the goals of advancing higher education and have an appreciation for Jesuit Catholic education and the goals and values of Boston College.
Requires a high school diploma, bachelor’s degree preferred.
