Description

Job Summary___________________________________________________________________

The Parts Representative is responsible on a daily basis for ensuring the smooth operation of the After-Market Parts Department functions. The Part Representative is a member of the team and is responsible to provide high quality and timely support to the work of the organization. 

 

Responsible for participating, supporting, and maintaining compliance to the Company’s quality, environmental and occupational health & safety policies, procedures, programs, and activities as defined by the Company.

 

Position responsibilities include direct communications with employees, customers, or representatives.


Duties and Responsibilities_______________________________________________________




  • Responsible for incoming parts calls from customers; quoting prices and checking availability.
  • Providing support to new and existing customers in regards to identifying model numbers and parts requirements.
  • Sales order processing consisting of order entry, processing and invoicing.
  • Review customer confirming purchase orders.
  • Process credit card payments.



  • Create Bill of Lading for truck shipments.
  • Create NAFTA certificates and Commercial Invoices for the Parts Department and Production.
  • Approve invoices for truck and UPS shipments.
  • Assist customers with tracking information for truck and UPS shipments. 

  • Responsible for issuing RGA’s to customers.
  • Responsible for confirming materials returned and processing debit memos.
  • Process and coordinate re-work repairs.
  • Issue call tags for material pick-up.
  • Generate ERP work orders for assembly processing.
  • Analyze ERP inventory reports and order parts as required.
  • Entering new part numbers in the item card; establishing sales prices for all levels.
  • Create bills of material for spare part refurbishing kits and assemblies.
  • Complete online customer quotes.
  • Responsible for refurbishing project logs. Organize, list and track units through the production      process.

Qualifications


Skills and Competencies__________________________________________________________

Language Skills- Ability to read and interpret documents such as safety rules, operating and maintenance instructions and procedure manuals.  Ability to write routine reports, and correspondence. Ability to speak effectively before groups of customers or employees of the organization.

Mathematical Skills- Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume.  Ability to apply concepts of basic algebra and geometry.

Reasoning Ability- Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.

Computer Skills- ­ To perform this job successfully, an individual should have knowledge of Internet software and the Microsoft Office Suite of products. Knowledge of basic office equipment should include: Internet and email, copy and fax machines, postage meter and telephone. 

 

Education and Experience Requirements____________________________________________

One-year certificate from college or technical school; or three to six months related experience and/or training; or equivalent combination of education and experience.
