Office Assistant

Schedule: Monday - Friday 8:30am-5:00pm

As an Office Assistant the work you do every day makes a difference in the lives of our patients by answering calls and supporting our field clinicians.

HOW YOU'LL WORK:You’ll provide a warm welcome for all guests whether in person or on the phone. You will support in answering patient and clinician calls and delivering messages in a timely manner. You’ll be responsible for creating, maintaining and supporting field clinicians in completing a monthly on-call calendar that supports multiple disciplines and territories. You will confirm the accuracy and completeness of the on-call calendar to ensure patient care is maintained.

MAJOR AREAS OF RESPONSIBILITY:

Customer Service: Greet visitors in a professional manner and direct them appropriately. Answer telephone inquiries and directs phone calls appropriately.

Administrative: Open daily mail and sends/scans to appropriate department/personnel. Create and manage on-call calendar for clinicians in accordance with agency procedures. Verify accuracy of on-call shifts to ensure patient care. Accurately enter clinician visit and on-call bonuses into payroll system per agency guidelines.

Office Management: Ensure office environment is tidy and orderly and follow-up with service vendors (e.g. cleaning company) for any issues. Monitor inventory levels for Personal Protective Equipment (PPE) and prepare PPE for clinicians per request.

Communication: Effectively communicate with clinicians and clinical leadership to ensure all clinicians sign-up per their position requirements to ensure coverage necessary to meet patient needs.

Reporting: Perform non-clinical workflow and data reporting in accordance with CMS guidelines and agency policy and procedure.


HARD & SOFT SKILLS:

Exemplary communication skills and customer focus is a must.

Excellent computer skills and time management.

Ability to work independently with little or no supervision.

Must be able to professionally handle confidential information.

Attention to detail is critical, as is being observant and following directions.

Problem solving and create solutions to drive to a course of action.

REQUIREMENTS:

High School Diploma or Equivalent is required.

Experience with multiple-line phone in a high-volume setting is required.

At least 1-year experience in office assistant or similar role required.

Experience in healthcare setting preferred.

Capable of all physical demands.
