EDUCATION & EXPERIENCE
Required: This position requires the following educational and/or job experience.
- Two (2) plus years of work experience in an office or medical office setting
- Valid unrestricted driver’s license
- Cardiopulmonary Resuscitation (CPR) certification; or the ability to obtain within 90 days of hire.
Preferred:
- Three (3)) plus years of work or internship experience in an office or medical office setting.
- Six (6) months’ experience within a Valley Hope business office.
- Proven experience in supervision or leading a team including training and/or mentoring.
- Previous customer service experience.
- Associate’s degree in business related field.
COMPENSTATION:
- Starting pay ranges from $18.13 - $23.00/hr. based on experience and education

JOB SUMMARY:
- Answers multi-line telephone system and responds effectively to incoming callers.
- Assists with the admissions call process as directed responding to prospective patients/families/referral sources with respect and kindness.
- Assists with the admissions process as directed which may include face-to-face meetings with incoming patients and their families and documentation/computer data entry of patient information.
- Performs/Assists in determining insurance or other funding verification/benefits including coordinating the transfer of patient information to internal/external payment sources as directed.
- Interacts with patients and visitors as necessary to support a positive clinical environment.
- Performs cash and credit transactions including book or other merchandise sales as well as patient payments for services accurately and effectively.
- Deposits cash, check, and credit receipts and manages facility Petty Cash as directed. Prepares accounting transactions/keeps records as directed.
- Assists with processing of weekly accounts payables as directed which may include computer data entry, statement reconciliation, and balancing of accounts.
- Prepares letters and documents using approved templates or form letters as requested while following HIPAA and 42 CFR Part 2 guidelines.
- Respond promptly to medical records requests while following HIPAA and 42 CFR part 2 guidelines.
- Maintains confidentiality of all patient data in accordance with HIPAA and 42 CFR Part 2 regulatory requirements.
- Performs computer data entry of patient/family/referral source information and charges into Valley Hope and other payment source systems as assigned.
- Assists with patient meetings regarding insurance and/or financial information as directed.
- Performs common office related tasks such as filing, scanning, faxing, and copying.
- Assists Business Manager as needed with training of staff.
- Trains Administrative Assistants to ensure successful completion of office-related tasks as directed.
- Prepares orders and/or purchase office supplies or equipment for the facility in accordance with facility purchasing practices and budgetary restrictions. Identifies ways to keep department costs down and report to the Business Manager.
- Evaluates department staff routinely to ensure department standards are consistently met and report concerns to the Business Manager promptly as directed by supervisor.
- Provides input for assigned personnel for performance reviews as directed by supervisor.
WORK ENVIRONMENT:
- Office setting within a residential and/or outpatient treatment facility.
- Must be able to work traditional and/or non-traditional hours including overtime based on operational needs
- Sitting for extended periods of time of up to 4 hours.
- Able to push, pull, pull up, bend at the knees and waist, twist body at the waist, raise and hold arms overhead, turn head-neck-shoulders as needed, grasp other items with hands, for either extended periods of time or many times throughout the workday.
- Able to lift and carry at least 20 pounds.
