SUPERVISORY RESPONSIBILITIES 

None.

 

SUMMARY 

The primary task of the Program Assistant II is to determine eligibility of customers for Employment and Training services.

 

Assist in the fulfillment of the Agency’s vision, “For Those We Serve,” by empowering individuals who thrive as healthy, self-sufficient and contributing members of our communities. 

 

DUTIES AND RESPONSIBILITIES/ESSENTIAL FUNCTIONS

Conducts intake/registration to establish customer’s eligibility for Workforce Innovation and Opportunity Act (WIOA) registered services including securing all necessary up-front supportive documentation.

 

Finalizes eligibility determination and certification of customers for final review, approval and entry into the Cal Jobs Common Case Management system.

 

Assists Academic and Career Advisors and Business Account Specialists as needed.

 

Assists with entry of customer activity enrollment, completion and exit documents into the Cal Jobs Common Case Management system.

 

Generates correspondence as requested. 

 

Contacts customers to schedule office appointments. 

 

Maintains customer files by filing documents in a timely and organized manner.

 

Picks up time and attendance documents for participants in work-based training program.

 

Assists with tracking and reporting work-based expenditures.

 

Maintains and disseminates current and updated work-based training directory information.

 

Provides coverage for reception desk and phones as needed including covering receptionist’s daily breaks and lunch.

 

Assists with customer follow up contacts as necessary.

 

Attends training workshops, delivers documents to the Fresno Regional Workforce Development Board FRWDB and assist with entry of data into internal data system.

 

Attend outreach and recruitment events. 

 

Conduct orientations, suitability meetings and assist with workshops. 

 

Travels for agency business using reliable transportation.

 

Maintains regular attendance and punctuality. 

 

Works evenings and weekends as required.

 

Performs other duties as assigned.

 

QUALIFICATIONS

EDUCATION:

High school diploma or GED.

 

Associates Degree in Business or related field preferred.

 

EXPERIENCE:

One (1) year of directly related work experience in a closely related field or occupation.

 

Workforce Innovation and Opportunity ACT (WIOA) experience preferred.

 

OTHER QUALIFICATIONS:

Proficient in Microsoft Office Suite and related business software.


Effective presentation, written and verbal communication skills. 

 

Possess demonstrated abilities to deal effectively with the public and private sector.

 

Ability to multitask, meet time commitments and follow task/job through to completion; strong work ethic and capacity for responsibility.

 

Ability to work effectively in teams to meet program goals and address issues.

 

Ability to handle day-to-day work challenges confidently, adjust to multiple demands, shifting priorities, ambiguity, and rapid change. 

 

Willing to work non-traditional hours and days to meet the needs of this position.

 

Bilingual in English and Spanish, Hmong or other secondary language preferred based on the needs of the clients and the program.

 

Maintain a valid California driver’s license, reliable transportation, adequate auto insurance as required by State law, and insurability by agency carrier for those driving agency vehicles.

 

Prior to employment must pass required background investigation including acceptable criminal record statement, Department of Justice fingerprint clearance, and child abuse index clearance
