Position Overview:
We are seeking an organized and detail-oriented Administrative Assistant to support QCH’s operations and team members. This role is key to ensuring smooth day-to-day office operations, managing communications, scheduling appointments, and assisting with administrative needs across the agency. The ideal candidate is highly organized, professional, and able to thrive in a fast-paced, collaborative environment while delivering exceptional service to colleagues, clients, and visitors.


Key Responsibilities:

  • Provide administrative support to senior managers and executives, assisting with organizational and operational tasks.

  • Manage phone and email communications, schedule appointments, and coordinate calendars.

  • Prepare, review, and distribute correspondence, invitations, and informational materials.

  • Maintain and optimize office policies, procedures, and filing systems.

  • Welcome and assist visitors, ensuring a professional and positive experience.

  • Keep outgoing communications current, including the distribution of flyers and brochures.

  • Ensure timely responses to all communications and operational needs.

  • Perform additional administrative duties as assigned.


Qualifications:

  • Proven experience in office administration or related operations.

  • Proficiency with Microsoft Office Suite and familiarity with office equipment (printers, fax machines, etc.).

  • Strong organizational and time management skills with attention to detail.

  • Excellent written and verbal communication skills.

  • High school diploma or equivalent; additional administrative training or certification is a plus.
