Under general supervision, the Operating Room Materials Coordinator is responsible for inventorying and replenishing supply levels for all perioperative areas within the facility or health care organization. This position will research instruments, supplies, and equipment purchased to maximize cost effectiveness and maintain accurate and complete records concerning ordering, receiving, and payment in a timely and cost-effective manner."

Responsibilities

  • Ensures sufficient levels of inventory, rotates and removes all outdated and overstocked materials, and verifies that par levels are adjusted accordingly.  
  • Notify relevant supervisory and accounting personnel of all supplies that are removed from the par level.  
  • Review the surgical schedule in advance to verify that supplies and equipment are available when needed.  
  • Verify that complete patient, perioperative, and equipment asset information is recorded accurately for processing daily charges, issues, and credits.  
  • Provide a high level of service for all customers (ex., physicians, health care industry representatives [HCIRs], perioperative personnel) and prompt responses for emergent needed (STAT) equipment, supplies, and instruments.  
  • Monitor and manage system access to the facility. Coordinate system in-service programs.  
  • Maintain records of purchase orders, requisitions, and product literature.  
  • Coordinate loans and returns of perioperative services equipment and other materials.  
  • Communicate pertinent information regarding back-orders and anticipated release dates for perioperative materials to relevant stakeholders. Notify risk manager of product recalls.  
  • Implement cost-containment practices by advocating for judicious use of perioperative services materials, capturing patient charges accurately and completely, and reconciling invoice exceptions in a timely manner.  
  • Compile reports for data analysis and quality improvement projects relative to perioperative materials management.  
  • Performs all other duties as assigned.  

Qualifications

  • Computer skills (Microsoft® PowerPoint, Word, Excel)  
  • Knowledge of medical terminology and medical supplies.  
  • Ability to promote the mission, vision, and values of the facility or health care organization.  
  • Knowledge of HIPPA.  
  • Skill in verifying accurate ordering and patient charging.  
  • Knowledge of purchasing procedures, product information, and contract compliance.  

EXPERIENCE:

  • Two to three (2-3) years of experience in an OR setting.  

EDUCATION:

  • High School Graduate or Equivalent 

LICENSES/CERTIFICATION:

  • BLS Basic Life Support Upon Hire Required
  • CSPDT Certified Sterile Processing and Distribution Technician Upon Hire Pref
  • LVN Licensed Vocational Nurse Upon Hire Pref
  • TSC - Surgery Technician Certified Upon Hire Pref
