MAIN FOCUS: The Senior IT & Facilities Specialist delivers seamless onsite IT and facilities support, managing onboarding, asset lifecycles, end user devices, and AV technology in a HIPAA regulated environment to keep staff productive and secure.
LOCATION: Palo Alto, CA (onsite); the successful candidate for this role will be based in the Bay Area and will be onsite 5 days/week.
WHAT YOU'LL DO...
Reporting to the Director of IT and Facilities, the Senior IT & Facilities Specialist provides hands-on support across workplace facilities and technology, including end user devices and applications, office technology and collaboration platforms, and audio visual, ensuring staff remain productive and secure in a HIPAA-regulated environment. This role serves as the frontline responder for technology and facilities issues, manages onboarding and asset lifecycle processes, supports internal and donor-facing events, and partners closely with the Director of IT and Facilities and the Network & Systems Engineer to deliver seamless IT and facilities operations.
This position requires a strong service orientation, technical expertise across Mac and Windows platforms, advanced knowledge of Microsoft 365, AV/event management skills, and the ability to translate security and compliance best practices into daily support operations.
The compensation range for this role is $45.67-$50.48 per hour.
YOU'LL BE RESPONSIBLE FOR...
Technical Support & Service Delivery
- Provide Tier 1 and Tier 2 support for Mac and Windows devices, Microsoft 365 apps, and communication and collaboration platforms.
- Act as the first level escalation point for technical issues unresolved by outsourced desktop support provider.
- Manage conference room technology (Zoom and Teams), hybrid meeting setups, and AV/event support.
Onboarding, Offboarding & Asset Management
- Lead IT onboarding for new hires, including device setup, account provisioning, and user orientation.
- Execute secure offboarding workflows in coordination with HR and management.
- Maintain an accurate IT asset inventory, oversee laptop deployments, and manage accessories and spares.
Compliance & Security Hygiene
- Apply HIPAA, data privacy, and InfoSec policies to protect systems and sensitive data.
- Ensure MFA, Intune compliance, encryption, and conditional access are consistently enforced.
- Promote secure collaboration and file-sharing practices across staff.
Documentation, Training & Knowledge Sharing
- Create and maintain clear user guides, knowledge base articles, and training resources.
- Provide coaching and communication to staff on secure use of technology, including responsible use of AI productivity tools.
Facilities & Event Technology
- Support facilities-related technologies, including printers, displays, and office equipment.
- Coordinate with office management and external vendors to ensure event and meeting spaces are always technology ready.
Collaboration & Continuous Improvement
- Work closely with the Director of IT and Facilities on IT and facilities initiatives.
- Partner with the Network & Systems Engineer on escalations, infrastructure improvements, and security measures.
- Identify recurring issues and propose process or tooling improvements to increase efficiency and reliability.
YOU MUST HAVE...
- 6+ years of IT support or end-user computing experience in mixed Mac/PC environments.
- Advanced proficiency with Microsoft 365 (Outlook, Teams, SharePoint, OneDrive)
- Hands-on experience with Intune (compliance, Autopilot, baselines) and MFA enforcement.
- Experience troubleshooting AV/event and hybrid meeting technology, including Zoom.
- Experience managing IT onboarding, asset tracking, and secure device lifecycle.
- Familiarity with HIPAA and data privacy/security best practices.
- Strong communication and customer service skills with the ability to support non-technical users.
- Experience with AI productivity tools (e.g., Microsoft Copilot, ChatGPT) in enterprise settings.
- Certifications such as CompTIA A+, Microsoft 365 Fundamentals, or Apple Certified.
IT'S AN ADDED PLUS IF YOU HAVE EXPERIENCE WITH...
- Familiarity with Microsoft Purview (sensitivity labels/DLP).
- Basic scripting skills (PowerShell, Bash) for automation of repetitive tasks.
- macOS management experience (Intune or Jamf).
- Experience in nonprofit, academic, or healthcare IT environments.
